Overview Position Summary The Finance Assistant supports the dealership’s Finance & Insurance (F&I) department by preparing documentation, coordinating deal files, assisting with lender submissions, and ensuring accurate and compliant processing of vehicle transactions. This role works closely with F&I Managers, Sales Consultants, lenders, and the Accounting Office to maintain smooth workflow, timely funding, and strong customer service. The ideal candidate is detail‑oriented, organized, and eager to develop skills within the automotive finance field. Responsibilities and Qualifications Key Responsibilities Assist F&I Managers with preparing and organizing all deal documentation, including credit applications, contracts, disclosures, and lender forms. Enter and update customer and deal information in the dealership management system (DMS) and lender portals. Review deal files for accuracy and completeness before submission for funding. Communicate with lenders to provide required stipulations, verify details, and follow up on funding status. Maintain organized digital and physical filing systems for all finance‑related documents. Assist in preparing warranty, protection plan, and product forms in support of F&I presentations. Ensure compliance with dealership policies, OEM standards, privacy laws, and regulatory requirements. Coordinate with the Accounting Office to help resolve funding discrepancies and support timely posting of deals. Follow up with customers regarding missing documentation or signatures needed to complete the finance process. Support daily administrative tasks for the Finance Office, including printing forms, scanning, emailing, and maintaining supply levels. Prepare basic reports and summaries for F&I management as requested. Provide general assistance to the Sales team by ensuring smooth transitions into the finance process. All other duties as assigned by Finance or Store Leadership. Qualifications Previous experience in automotive administration, finance office support, or customer service preferred. Strong attention to detail and accuracy, especially when handling sensitive or confidential information. Good understanding of basic finance processes or willingness to learn dealership finance operations. Proficiency with computers, including DMS platforms, CRM systems, lender portals, and standard office software (Excel, Outlook, Word). Excellent communication and organizational skills. Ability to prioritize tasks, work under tight deadlines, and manage multiple responsibilities. Strong customer‑service mindset with a professional and positive attitude.
