Position Overview
We are seeking a highly organized and detail-oriented Project Manager to provide specialized support to executives and management teams. The ideal candidate will excel in coordinating schedules, preparing reports and presentations, conducting research, and driving process improvements to support organizational goals.
Essential Functions:
Calendar and Schedule Management
Coordinate and manage appointments, meetings, and events for executives and management team members.
Prioritize and schedule tasks to ensure efficient use of time.
Document Preparation and Management
Prepare and edit reports, presentations, memos, and other business materials.
Organize and maintain both electronic and physical files.
Meeting Support
Prepare materials for meetings, including agendas and presentations.
Record, distribute, and track meeting minutes and action items.
Research and Analysis
Conduct research on various topics to support decision-making.
Compile data and prepare reports or summaries for management review.
Presentation Preparation
Assist with slide design, formatting, and ensuring consistency in visual materials.
Budget and Expense Management
Support preparation, tracking, and reporting of budgets and expenses.
Data Entry and Record Keeping
Maintain accurate data across spreadsheets, databases, and other information systems.
Task Prioritization and Follow-Up
Organize and prioritize multiple tasks to meet deadlines.
Track and follow up on action items across team members.
Facilities and Office Support
Coordinate office logistics, including workspace allocation, equipment maintenance, and supply procurement.
Process Improvement
Identify inefficiencies and recommend improvements to business processes.
Implement strategies to streamline operations.
Strategic Planning
Assist in developing long-term goals and strategies.
Conduct market research and competitive analysis to inform decision-making.
Cross-Departmental Coordination
Collaborate with other departments to ensure seamless execution of projects and initiatives.
Qualifications
Qualifications
US Citizen
Bachelor's degree: Business Administration, Management, or related field (preferred).
Proven experience in management analysis, executive support, or administrative functions.
Strong organizational and time-management skills with the ability to multitask effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent communication and interpersonal skills.
Strong analytical, problem-solving, and research abilities.
Experience supporting senior executives is a plus.
