Description
Position Summary:
ACCESS REPRODUCTIVE JUSTICE (ACCESS) seeks a Finance and Grants Manager with a deep commitment to reproductive justice. This position will support ACCESS' mission, vision and values by assisting with the day-to-day financial health of the organization and the compliance integrity of the grant portfolio.
About the Role, Reporting Relationships and Overview:
The Finance & Grants Manager is a new ACCESS RJ position that will be a core member of the Operations & Administration department.. This role supports the full financial operations cycle — from accounts payable and receivable through monthly close and board reporting — and manages grant tracking and restricted fund compliance across ACCESS RJ's multi-funder revenue base.
This is a highly trusted, detail-oriented role that requires strong accounting knowledge, comfort with both restricted and unrestricted fund management, and the ability to serve as a reliable thought partner to the Finance and Operations Director and other leadership. The Finance & Grants Manager reports to and works closely with the Finance and Operations Director.
What You’ll Do and What Success Will Look Like
Financial Operations
Manage all accounts payable and accounts receivable, including vendor payments, reimbursements, and invoicing
Maintain the general ledger and chart of accounts in the accounting system (currently QuickBooks)
Monitor cash flow and flag concerns proactively to the Director of Finance and Operations
Process bi-weekly payroll in coordination with the payroll processor (currently BambooHR), ensuring accuracy of deductions, benefits, and allocations
Manage organizational credit cards, expense reporting, and reimbursement workflows via Ramp
Support with the preparation of monthly, quarterly, and annual financial statements and analyses for leadership and the board
Direct Support Fund Accounting
Maintain accurate financial records for all direct financial assistance disbursements, ensuring proper coding, documentation, and audit trail
Reconcile disbursement data with the case management system on a monthly basis in coordination with the Healthline Finance Coordinator
Ensure direct support expenditures are correctly allocated across restricted and unrestricted fund sources
Grants Financial Management
Maintain a comprehensive grant tracking system covering award amounts, restrictions, reporting deadlines, and allowable expense categories for all active grants
Support with preparation of financial reports for grant deliverables, ensuring accuracy and alignment with funder requirements
Monitor spending against grant budgets and alert program staff of variances or risks
Support the Executive Director (and sometimes outside consultant) and Finance and Operations Director to develop grant budgets for new proposals
Ensure compliance with all grant restrictions and coordinate with leadership on re-budgeting requests when needed
Audit & Compliance
Serve as a staff coordinator for the annual audit, managing document preparation, auditor communication, and timeline
Work with the Finance and Operations Director to prepare for and respond to audit findings and recommendations
Maintain current knowledge of accounting standards (GAAP, ASC 958) and California-specific compliance requirements
Support the Finance and Operations Director in maintaining current business registrations, charitable solicitation registrations, and tax filings (990 coordination)
Internal Partnership & Systems
Serve as a reliable financial resource and thought partner to Healthline, Movement Building, and Strategic Communications and Culture staff
Maintain and improve financial systems, workflows, and internal controls appropriate to the organization's size and risk profile
Support annual budget development in collaboration with the Finance and Operations Director and Directors
Participate in the annual policy review (compensation, reimbursement, stipend, etc.) process by providing relevant financial analysis

Bonus Qualifications
Personal experience with abortion, adoption, and/or parenting.
3–5 years of financial management experience, including direct responsibility for grants compliance and restricted fund accounting
Demonstrated proficiency in QuickBooks, Ramp, and/or equivalent accounting software
Strong working knowledge of GAAP
Experience managing grant budgets and preparing financial reports for foundation and government funders
Comfort with payroll processing and benefits administration in coordination with a third-party processor
Exceptional attention to detail, organizational skills, and ability to manage multiple deadlines simultaneously
Ability to communicate financial information clearly to non-financial staff and leadership
Experience with ACCESS’ programs, as a volunteer, intern, or caller.
Please note, a college degree is NOT required.
Hours and Location
This position is full-time and fully remote within the State of California. ACCESS RJ currently operates on a staggered 4-Day workweek. All staff work a M-TH or T-F schedule, which will be established upon hire. All ACCESS RJ employees are required to be based in the state of California. ACCESS RJ meets twice annually for in-person staff retreats and attendance is required. Other local or national travel opportunities are available pending staff’s interest and availability. Flexibility to work some nights or weekends required.
Compensation
ACCESS RJ is committed to pay transparency. In 2025, we implemented a Fixed Salary Policy. This policy, implemented to foster transparency, equity, and non-hierarchical leadership, sets predetermined salaries based solely on job titles and the work expected within each role. This approach ensures fair and consistent compensation across our organization. The Finance & Grants Manager position(s) is an exempt, full-time position with an annual salary of $89,610.
ACCESS RJ offers a generous benefits package including health, vision, dental and life insurance with no share-of-cost for the employee, a 401(k) plan with 5% employer match, 15 days of paid vacation in the first 2 years of employment and 20 days of paid vacation after the first 2 years of employment, paid sick/wellness time, family and medical leave, a wellness stipend, and opportunities for professional development and growth.
