Shriners Children's Texas is where hope and healing meet. As one of only four pediatric burn specialty hospitals in the Shriners Children's health system, we are designated by the American Burn Association (ABA) and the American College of Surgeons Committee on Trauma as a verified pediatric burn center. Located on Galveston Island, our 30-bed inpatient hospital provides a full line of both inpatient and outpatient care specializing in burn care, orthopedic conditions, complex skin conditions, and plastic and reconstructive surgery. Our services extend to a number outreach clinics in San Angelo & Marshall, Texas, and Monterrey, San Luis Potosi, Guadalajara, Veracruz, Toluca & Chihuahua Mexico and Panama, which provide children and families access to high-quality, specialized burn and orthopedic care.
Job Overview
The Executive Assistant provides administrative support for the Hospital Administrator. The EA performs all administrative functions including transcription, letters/memos, administration policies and procedures, general office duties, and meeting minutes. Maintains competent knowledge of organizational operations, procedures, policies and personnel. Works independently to plan and organize office operations. Assists in the planning and preparation of any special events associated with the Administrator's office.
Responsibilities
Coordinates all administrative activities for assigned executive
Schedules activities, special events, travel arrangements and special projects for the Hospital Administrator and assures effective coordination of the activities
Assists with the Hospital Administrator's time by researching, routing correspondence, drafting letters and documents, collecting and analyzing information, preparing information for meetings, scheduling and maintaining calendar and meetings
Works with staff to complete annual surveys
Coordinates student affiliation agreements between universities and legal councils at SHC headquarters office, works with other hospitals in preparing transfer agreements
Receives and documents donations received at hospital
Prepares and monitors the budget for the Administration Department
Prepares monthly packets for Board Members
Provides support to the Board of Governors

Qualifications
Required
Associates degree in related field
5 years of Administrative Assistant / Clerical experience
Advanced proficiency in Microsoft Office Suite of products
Preferred
2 years of Executive Secretary experience
Hospital setting experience
Experience using Microsoft CoPilot and AI tools
