Deputy Project Manager (Deputy PM)
Position Summary
Key Responsibilities
Primary Focus: Recipient Caseload
Maintain a caseload of assigned grantees. Initiate ongoing communication with grantees regarding program status, grant applications, and operational activities. Provide guidance on Head Start Performance Standards and ensure grantee compliance with federal regulations. Share pertinent federal information (IMs, PIs, announcements) with assigned grantees. Deliver high‑quality customer service and technical assistance. Secondary Focus: Support to the Project Manager
Serve as secondary point of contact for the PM Support PM with some administrative or coordination tasks, such as: Reviewing select deliverables for quality when assigned Providing brief status updates on caseload trends or risks Assisting with documentation or process updates as needed Participate in management meetings when needed. Offer mentorship to team members on technical or programmatic questions related to Head Start Performance Standards. Support PM in maintaining contract performance and customer satisfaction Assist PM with maintaining project timelines Contribute to quality assurance efforts by adhering to documented processes and offering feedback and conducting reviews. Collaborate with PM and team to support corporate policies and business rhythm.
Qualifications
Required
Bachelor’s degree in business, public administration, education, or related field; master’s preferred. Minimum 7 years of relevant professional experience, including experience with federal discretionary grants or program oversight. Strong analytical, communication, and decision‑making skills. Demonstrated ability to manage a full caseload while producing high‑quality written and verbal communication. Knowledge of Head Start Performance Standards and applicable federal regulations. Ability to work onsite and virtually. Ability to travel occasionally. Preferred
Experience with the Office of Head Start. Experience with quality assurance, monitoring, or compliance. Familiarity with Microsoft Office and web‑based data systems; Smartsheet experience a plus. Ability to exercise sound judgment, tact, and diplomacy. Highly organized and process‑oriented. Eligibility to obtain public clearance. Strong relationship skills
