The ideal candidate will have hands-on experience in a broad range of HR administrative tasks, including employee records management, onboarding, recruitment support, and policy documentation. A solid understanding of Maltese employment legislation and regulatory compliance is essential. Proficiency in using the Indigo (Shireburn) payroll system is a key requirement, as the role involves assisting with payroll processing and ensuring accurate employee data.This position requires excellent organisational skills, discretion, and the ability to work closely with both the HR team and wider business to ensure smooth and compliant HR operations. Key Responsibilities Onboarding and Offboarding: Oversee the full onboarding process, ensuring a positive experience for new hires, from orientation sessions to integration into the team. Manage offboarding processes, including exit interviews, feedback analysis, and final clearance. Employee Records Management: Ensure accurate and timely updates to employee records in HR systems, maintaining data integrity and compliance with relevant regulations. Lead the preparation of detailed HR reports and documentation for management review. Employee Relations and Performance Management: Serve as a trusted advisor for employee inquiries related to HR policies, procedures, and benefits. Support and implement performance management processes, including performance reviews, goal-setting, and development plans. Assist in resolving employee conflicts and grievances, maintaining a positive work environment. Administrative and Payroll Support: Oversee payroll processing, benefits administration, and leave management, ensuring accuracy and timely disbursement. Prepare and distribute important HR communications, such as policy updates and company announcements. HR Process Improvement: Identify opportunities to improve HR processes and systems, ensuring greater efficiency and effectiveness. Key Skills & Requirements Minimum of 3 years’ experience in an HR administrative or generalist role. Proficient in Indigo (Shireburn) payroll system, with experience supporting payroll processing and maintaining accurate employee data. Strong knowledge of Brazilian employment law, HR compliance requirements, and administrative best practices. Fluency in both English and Portuguese is essential. Excellent organizational, administrative, and problem-solving skills with great attention to detail. Strong interpersonal and communication skills, with the ability to work effectively across all levels of the organization. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with HRIS systems. High level of confidentiality, discretion, and professionalism in handling sensitive HR matters.
