Description
JOB SUMMARY
Ensure the division establishes and maintains an effective compliance program which promotes integrity and adheres to ethical standards of conduct, applicable laws, policies, rules and regulations governing higher education institutions and programs.
Work collaboratively with Division of Extended Learning (DEL) Leadership to minimize instances of internal and external non-compliance by establishing a procedural process for all relevant noncredit instructional operations.
This position will lead the assembling, submitting and monitoring the ongoing maintenance of materials for the Texas Higher Education Coordinating Board (THECB) and maintaining the Continuing Education (CE) course database.
ESSENTIAL FUNCTIONS
Develop, implement and maintain an effective compliance program to detect, prevent, and resolve issues related to conduct that fails to conform to applicable laws, rules and regulations of THECB, Southern Association of Colleges and Schools Commission on Colleges (SACSCOC), Workforce Education Course Manual (WECM), Guidelines for Instructional Programs Workforce Education (GIPWE), and other accrediting stakeholders.
Develop, initiate, maintain, and revise policies and procedures for the general operation of the compliance program and its related activities to prevent illegal, unethical, or improper conduct.
Ensure state and local CE course procedures are implemented and all reporting processes and deadlines are met in a timely manner.
Serve as point of contact for DEL course compliance, SCE class compliance, and faculty credentialing.
Process all new course additions, special topics, local need forms and/or course changes and revisions received from CE courses; monitor submissions to THECB and disseminate results.
Manage and update course databases, aligning with WECM requirements.
Collaborate with the Director of Administration and Student Support Services on the creation of professional development training for DEL staff regarding state and accreditation compliance processes and record keeping.
Assist with generating the annual Occupational Skills Award (OSA) completer report.
Maintain ongoing communication with system registrar’s office to ensure compliance in state reporting.
Provide quarterly monitoring reports of CE course data for DEL.
Design, Construct, Coordinate, and directs the maintenance of the DEL Resource web-page.
Manage the augmentation and editing of existing data sources and verify that database content is updated and streamlined to ensure optimal use.
Assist the Director of Administration and Student Support Services in developing the specifications of standard reports to meet DEL requirements and collaborate with internal and external resources for implementation.
Draft and disseminate compliance program correspondence.
Identify potential areas of compliance vulnerability and risk, develops and implements corrective action plans for resolution of problematic issues, and provides general guidance on how to avoid or deal with similar situations in the future.
Supervise, train and direct assigned subordinate staff.
Perform other duties, tasks and assignments as required.
