Position Details: As part of the Human Resources team, you will report to HR Operations Manager. You will support the effective operation of HR functions by coordinating core employee lifecycle processes, including onboarding, offboarding, and data management. You will ensure accuracy and completeness of HR transactions, supporting payroll administration through data tracking and validation, and responding to employee and manager inquiries. You will contribute to reporting, audit preparation, and process improvements, while performing work independently, consulting the HR Operations Manager when guidance is needed, and providing recommendations to enhance HR operations. This is a non-exempt, full-time position requiring a minimum of four (4) days per week in the office, on a schedule determined by your supervisor in our NYC headquarters office or other relevant location. The in-office requirement and schedule are subject to change based on the needs of the program and the organization. You Will: Coordinate and support employee lifecycle processes, including onboarding, offboarding, and job changes, ensuring accuracy, completeness, and alignment with established procedures. Maintain HR records and compliance documentation in both paper and HRIS systems, including I-9 verification, offer letters, and policy acknowledgments. Review data for completeness and flag inconsistencies. Manage HR Inbox, provide HR policy guidance. Ensure timely, comprehensive responses, escalate complex issues with recommended solutions, and follow up to resolution. Serve as a point of contact for HRIS-related questions and user support, assisting employees and managers with system access, navigation, routine troubleshooting, and training on HR systems and processes, escalating complex issues as appropriate. Prepare and distribute standard and ad hoc reports from HR systems for HR leadership and other stakeholders. Support data integrity efforts, investigate discrepancies, and assist with reporting requests. Support payroll administration by preparing, tracking, and validating employee data changes and timecard activity, ensuring accuracy of inputs and alignment with payroll processing timelines. Support HR reporting, audit preparation, process improvement initiatives, SOP documentation, and special projects in collaboration with the HR Operations Manager Audit and process invoices, ensuring accurate coding and timely submission within our check request system. Identify trends or recurring issues and recommend improvements. Perform additional job-related duties as assigned. You Have: Bachelor's degree, a degree in Human Resources, Communications, or English or equivalent work experience. Minimum of three (3) years of experience in Human Resources, Human Resources Operations, or a related field. Advanced proficiency in Microsoft Excel, including experience with formulas, pivot tables, lookups, data validation, and reporting. Proficiency with Microsoft Office applications, including Outlook, Word, PowerPoint, and Teams. Experience working with an HRIS and maintaining employee data. Takes initiative in addressing needs and completing tasks. Attention to detail: Ensure accuracy and precision in all tasks. Time management: Efficiently handle multiple responsibilities and meet deadlines. Communication: Effectively convey information and collaborate with others. Problem-solving: Ability to identify issues and develop solutions. Proficiency in tools/software: Familiarity with relevant software, such as Microsoft Office or industry-specific tools. Organizational skills: Keep tasks, information, and documents well-organized. Adaptability: Quickly adjust to changes and new tasks as needed.
