Spare builds AI-powered software that helps cities deliver better transit. Over 250 communities around the world rely on us today. We are growing fast and the internal operations that hold everything together need to match that pace. Executive Operations (EO) sits at the centre of how Spare runs day to day. You work directly with the three co-founders, owning the logistics, support, and coordination that keeps them focused on what matters most. You also own the in-office experience: the environment, events, and culture that make Spare a place people want to show up to. Everything in your scope is connected: founder support, office operations, events, culture. Some of the physical work is outsourced, but you own the full picture: the judgment calls, the relationships, and the standard. If you are excellent at making things run well, find that work genuinely satisfying, and want to own a function the whole company depends on, then keep reading. This role requires a full-time presence at our Vancouver HQ. What You'll Own Founder support. You get to know how each of the three co-founders works, with some support for the broader leadership team. What they need, when they need it, and how they prefer things handled. The scope is focused: there is no inbox management or traveling with executives. But what you do handle (life event gifts, client hospitality, welcome notes, ad-hoc requests) you handle with the right taste, timing, and discretion. This is where anticipation and judgment matter most. Travel, logistics, and scheduling. When founders travel, you own it end to end: flights, hotels, itineraries, restaurant reservations. The volume varies by individual but the standard doesn't. You support their calendars and handle meeting logistics as needed. You also manage the recurring admin that comes with the role: expenses, cheque deposits, document scanning, etc. Office, events, and culture. Everything that makes Spare's Vancouver HQ run. Daily environment, weekly food, vendor oversight. Monthly lightweight socials at the office, quarterly outings with a small guest list, one bigger production per year for the holiday party, and logistics for internal events like hackathons, team workshops, and SKO. Your job is the full picture: oversight, quality, and making sure the team experience reflects Spare's standards. What We're Looking For You have supported senior leaders or founders and you are good at it, the kind of good where people stop thinking about logistics entirely because you have made it invisible. You have also run or contributed to office operations and you take pride in a well-run space. We care more about how you work than what your title was. You are exceptionally organized. You keep founder travel, scheduling, and office operations running in parallel without dropping anything on either side. You track what is open, what is at risk, and what needs a nudge without being asked. You are reliable. When a founder has a flight or a client dinner, they do not check whether it is handled. When someone new starts, their desk is ready. Nobody questions whether the office is well-run. It is all handled. You exercise good judgment and discretion. You know what a founder needs before they ask and you know when the office needs attention before anyone flags it. You act independently on the right things and surface the rest. You will be close to sensitive information and you handle it with care. You have good taste. Gifts are appropriate. Events feel right. The office looks right. You notice when something is off and fix it before anyone asks. You have low ego and high ownership. A lot of this work is invisible.
