Description
Administrative Coordinator
Summary: Manages day-to-day operation of local administrative offices in coordination with the Regional Supervisor and the Corporate Office.
Position Type: Full Time, Non-Exempt
Essential Functions:
Manages and maintains full responsibility for administrative office and its functioning and promotion within the Volunteers of America programs and the outside community Responsible for documentation of fiscal records and reporting including dispensing petty cash, requisitions, purchase orders, charge accounts, etc. Assures client confidentiality and security of files Enters data in computer database and runs needed reports Handles routine correspondence, opens mail and handles mail outs and postage Responsible for inventory records Coordinates office supply procurement Answers multi-line telephone and directs calls to proper person, taking messages as needed; welcomes clients and visitors and assists with their needs Maintains office area in a clean and orderly fashion Attends all required training and meetings Enter, update, and maintain accurate data in computer systems and databases Review data for errors, inconsistencies, or missing information and make necessary corrections Follow established data entry procedures and quality standards Use data entry software, spreadsheets, and other office tools efficiently Collaborate with team members to resolve discrepancies or improve processes Use data entry software, spreadsheets, and other office tools efficiently (if applicable) Assist Clinic Manager with ongoing specialized assignments, complex projects and other duties as directed Ensure initial intake documentation is completed accurately and entered into electronic health record Conduct screenings and ensure completion of initial intake documentation Perform routine administrative tasks such as filing, copying, faxing, etc. Manage all clinical appointments Perform routine administrative tasks such as filing, copying, faxing, etc. Ensure timely updates and data entry to keep records current

Required Education and Experience: Bachelor’s Degree or High School Diploma is required. Must be proficient in standard office procedures and have experience working in all Microsoft Office software. Must have experience in basic accounting principles.

While performing the duties of this job, the employee is frequently required to stand; walk; sit, use hands, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk or hear; taste or smell. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. While performing the duties of this job, the employee can sometimes be exposed to weather conditions. The noise level in the work environment is usually moderate.
