West Texas Counseling & Guidance (WTCG) is a non-profit, 501(c)(3) organization working to ensure that individuals and families seeking mental health treatment should have access to counseling services, regardless of their socioeconomic status and ability to pay. Our mission is to enable individuals and families to reach their full potential in body, mind, and spirit, using evidence-based counseling and educational services. Services offered by WTCG include individual therapy, Cognitive Behavioral Therapy (CBT), Cognitive Processing Therapy (CPT) and Eye Movement Desensitization and Reprocessing (EMDR) for trauma, premarital counseling, couples and family counseling, veteran services, children's play therapy, and anger management.
Position Overview
The Grants Specialist plays a critical role in advancing the organization’s grant-seeking and funding strategy. This position supports the full grant lifecycle—from identifying funding opportunities and developing proposals to managing awards and completing closeout activities—while helping to strengthen relationships with funders. This role is essential in ensuring the organization secures and manages funding in alignment with its mission and strategic priorities.
The ideal candidate combines strong writing, research, and analytical skills with the ability to manage multiple deadlines and collaborate across departments. This position is well-suited for individuals with experience in grant writing, research, nonprofit development, program coordination, or public sector funding. A high level of attention to detail, organization, and accuracy in documentation and reporting is critical to success in this role.
A flexible and proactive approach is required to meet deadlines and organizational needs. Employees must handle sensitive financial and programmatic information with discretion. Regular and reliable attendance is required.
Key Responsibilities
Grant Development & Strategy
Identify and evaluate grant opportunities from foundations, corporations, and government agencies aligned with organizational goals
Utilize grant databases such as Candid Foundation Directory and GrantStation to support funding research
Collaborate with the Director of Program Development to support and enhance grant-seeking strategies
Proposal Development & Reporting
Collaborate with program and accounting staff to develop, write, and submit compelling, well-researched grant proposals
Prepare timely, accurate, and comprehensive reports for awarded grants
Ensure all submissions meet funder requirements, deadlines, and guidelines
Grant Management & Compliance
Monitor awarded grants to ensure compliance with funder requirements, timelines, and reporting obligations
Communicate grant requirements, restrictions, and deliverables to leadership and program staff
Support adherence to funding guidelines and organizational policies
Data & Program Collaboration
Work closely with program directors to ensure effective data collection, outcome tracking, and performance reporting
Assist in extracting and interpreting data from Electronic Health Records (EHR) systems to support grant reporting
Support continuous improvement of data tracking and reporting processes
Funder Relations & Communication
Cultivate and maintain relationships with funders through ongoing communication, including reports and correspondence
Participate in meetings and calls with funders as appropriate
Support efforts to strengthen long-term funding partnerships
Administrative & Operational Support
Maintain and update the organization’s internal grant calendar, including deadlines, reporting schedules, and renewal cycles
Track and document all grant-related activities, submissions, awards, and communications within the CRM system
Collaborate with internal teams to ensure alignment and continuity across grant-related efforts
Perform additional duties as assigned
Qualifications
Bachelor’s degree in Public Health, Public Policy, Public Administration, Political Science, Nonprofit Management, or a related field
Minimum of three (3) years of experience in grant writing, including government (federal and/or state) and/or foundation grants
Proficiency in Microsoft Excel and standard office software
Excellent written and verbal communication skills
Strong attention to detail, organization, and project management abilities
Ability to work independently, exercise sound judgment, and manage multiple priorities
Demonstrated ability to collaborate effectively within a team environment
Strong research and analytical skills preferred
Basic knowledge of programming or data analysis tools is a plus, but not required
Willingness to learn and apply data analysis skills, including working with EHR systems to support reporting and outcomes tracking
Physical Demands & Work Environment
Work is performed primarily in an office or hybrid administrative setting
Requires extended periods of computer use, writing, and data analysis
Must be able to manage multiple deadlines and shifting priorities
Requires a high level of professionalism, discretion, and attention to detail
