Description
POSITION: Executive Legal Assistant
REPORTS TO: General Counsel
STATUS: Full-time, Exempt
RANGE: $65,000
Founded in 1901, Brooklyn Law School is a distinguished, independent law school located in Downtown Brooklyn, New York. The Law School is searching for an Executive Legal Assistant to join our team. The Law School’s size, vibrant employee and student population, and commitment to training the next generation of lawyers and promoting social justice, will offer a candidate the opportunity to develop and diversify practical skills and participate firsthand in operating a successful educational institution.
Reporting to the General Counsel, the Executive Legal Assistant will play a vital role in coordinating schedules, communications, meetings, travel, and various administrative functions while assisting with research, document preparation, and managing legal and compliance projects.
Responsibilities include:
Provide executive support to the General Counsel, Chief Compliance Officer, and Board Secretary, handling matters related to their office obligations and mandates Coordinate and prioritize schedules, meetings, conferences, and travel arrangements for the executives. Carry out legal and factual research, prepare written reports, and assist in preparing correspondence and court documents. Manage special projects related to business operations and legal matters. Serve as Board Liaison, interface with Board members, arrange board meetings, and assist the Board Secretary in maintaining confidential board materials. Prepare contracts for the General Counsel’s review, ensure execution by the proper signatories, and track contract dates and integration into operations. Interface with clientele, outside counsel, courts, and government agencies. Build and maintain databases and files; organize and track cases and legal matters; arrange service of process. Assist with policy research and development, maintain institution-wide policy library. Serve as the CLE (Continuing Legal Education) Coordinator, including reviewing qualifications, coordinating with events, and ensuring CLE certification. Oversee record retention, coordinating storage and secure destruction of documents. Manage office operations, including workflow management, problem-solving, and ensure that office equipment and supplies are maintained. Perform other duties as assigned by the General Counsel and Chief Compliance Officer. Required:
Bachelor’s Degree 2-4 years of relevant experience in a university, government agency, non-profit, corporate environment, or law office, or equivalent combination of education and experience. Experience working independently and exercising discretion in carrying out duties. Ability to establish and develop relationships with clients, outside counsel, government agencies, and other entities. Experience handling confidential information with professionalism and discretion. Highly proficient communication, writing, editing, research, and analysis skills. Strong organizational and prioritization skills, with the ability to handle detailed procedures in a fast-paced work environment with shifting priorities. Knowledge and experience in managing office daily operations. Proficient in Microsoft Word, Excel, and PowerPoint; willingness to learn and work with new software and technology. Remote capabilities:
