Description

Overview The Princeton Neuroscience Institute seeks a highly motivated and experienced Undergraduate Administrator. The Undergraduate Administrator will administer all aspects of the undergraduate student program. This role serves as the primary liaison between the Institute and the main constituencies with whom it interacts: undergraduates, faculty, the Office of the Registrar, the Office of the Dean of the College, Residential Colleges, and other university administrative units. Reporting to the Graduate Program Manager, the UGA serves as the primary point of contact for undergraduates in the department and collaborates with the Director of Undergraduate studies. The UGA performs a variety of management and administrative functions; proactively gathering information needed to support policy decisions and raising issues requiring departmental input. The Undergraduate Administrator will serve as back-up for the Graduate Program Manager as a presence in the office for students. Responsibilities • Manage all administrative aspects of undergraduate student academic matters for the major and minor programs. • Advise students on departmental requirements, course selection, and research proposals; oversee processes for junior independent work and senior thesis research. • Manage curriculum planning including the Undergraduate Announcement update process, class scheduling for new and existing undergraduate courses, including precepts and labs; monitor enrollments; manage course change requests; assign department classrooms and coordinate with the Registrar where necessary. • Initiate course schedule, course proof revisions, and submit CAFSIS forms for Fall and Spring. • Update and maintain undergraduate-focused pages of department website, consulting with the Director of Undergraduate Studies on program-related information. • Stay current about Institute and University rules, regulations, policies, procedures; coordinate process to update Institute policies as needed. • Review and update degree progress reports to ensure students are meeting departmental requirements. • Coordinate senior thesis process including advisor selection/assignments, scheduling of oral exams with faculty. • Manage undergraduate-focused events throughout the year, including the Academic Expo, Sophomore Open House, Princeton Preview, and Class Day. Oversee preparation of materials and budgets for these events. • Manage junior and senior independent work Canvas sites. • Oversee the undergraduate student organization, Princeton Neuroscience Network (PNN); providing administrative support for events and outreach initiatives. • Plan and disseminate communications regarding summer and career opportunities • Provide administrative support for the PNI Summer Internship Program, including programming and financials. • Manage funding request in the Student Activities Funding Engine (SAFE); proactively inform students and faculty about procedural matters, enter award opportunities, and administer awards in accordance with departmental and University research policies. • Deliver superior customer service in responding to student and prospective student inquiries, escort prospective undergraduates and their families on institute tours • Represent PNI at recruiting events in conjunction with national scientific meetings. • Participate and oversee administrative tasks for Curriculum Committee meetings; facilitate committee requests. • Maintain alumni contact and post-graduation information. • Other support as necessary. Qualifications ESSENTIAL Minimum Required Knowledge, Skills, Competencies, and Abilities • Bachelor’s degree or equivalent plus 3-5 years of relevant experience • Exceptional analytical, problem-solving, and decision-making skills; high attention to detail partnered with the ability to think and execute strategically • Highly effective organizational and project management skills • Very strong oral/written communication skills, with superior interpersonal skills: ability to work effectively with students, faculty, and university administrators • A desire to work with undergraduate students and faculty • Demonstrated ability to gather, analyze, interpret and present data (quantitative and qualitative) for varying constituencies and purposes • Ability to exercise good judgment, maintain confidentiality, and handle sensitive information in a discreet manner. • Ability to utilize current technology to create and enhance the Undergraduate Program's presence on the web • Must be proficient with MSWord, Excel, Google Drive PREFERRED Knowledge, Skills, Abilities, Experience, and Other Education • Experience in a university department setting with working knowledge of university business systems such as PeopleSoft, Stellic, Concur, Canvas Princeton University is an Equal Opportunity and all qualified applicants will receive consideration for employment without regard to age, race, color, religion, sex, sexual orientation, gender identity or expression, national origin, disability status, protected veteran status, or any other characteristic protected by law.
