Description

Envision Education seeks an Advancement Coordinator to support the coordination of all external affairs activities, marketing, communications, fundraising, and events. Application Deadline: June 1, 2026 Start Date: July 2026 POSITION SUMMARY This role supports the day-to-day coordination and implementation of External Affairs activities, including marketing, communications, fundraising, donor engagement, and events. Working closely with senior leadership, the Advancement Coordinator helps ensure projects, campaigns, and communications are organized, timely, and professionally executed. Key responsibilities include coordinating project timelines and workflows; preparing and distributing marketing, communications, and fundraising materials for social media, email communications, and websites; creating basic branded content; maintaining donor and CRM records; assisting with fundraising and stewardship activities; coordinating vendors and print production; supporting event logistics; and helping maintain consistent branding, communication quality, and operational follow-through across External Affairs functions. KEY RESPONSIBILITIES Advancement Operations & Coordination Support the day-to-day coordination of advancement activities across marketing, communications, development, and events to help ensure projects and campaigns are completed on time and with high quality Track timelines, deliverables, and project details while supporting collaboration across teams, vendors, consultants, and partners Maintain organized systems, calendars, files, and workflows to support efficient operations and strong follow-through Project & Workflow Coordination Coordinate implementation timelines, project tracking, and workflow support across advancement initiatives and campaign Assist with managing schedules, deliverables, approvals, and communications to support timely execution Maintain project management tools, calendars, and organizational systems aligned with department priorities Marketing & Communications Support Support execution of day-to-day communications activities including: social media content creation, scheduling, and posting newsletter content creation and distribution website updates and content uploads communications logistics and campaign coordination Assist with implementing communications calendars and campaigns across digital and print platforms Format, distribute, and proofread newsletters, emails, presentations, and communications materials to ensure quality, consistency, and brand alignment Creative Production & Content Support Create and update branded materials including graphics, presentations, newsletters, flyers, signage, social media assets, and event collateral Support formatting, editing, and production of print and digital materials aligned with organizational brand standards Draft and adapt routine content for multiple audiences including donor communications, event materials, recruitment content, and social media captions Events & Engagement Support Support planning and coordination of fundraising, community, staff, and leadership events Assist with event logistics including registration, materials, signage, vendors, setup, and on-site coordination Help coordinate event communications, collateral, sponsorship fulfillment, and participant experience details Materials, Print & Logistics Coordination Coordinate printing, production, packaging, and distribution of communications, fundraising, and event materials Support vendor coordination, inventory tracking, and fulfillment logistics to ensure materials are accurate and delivered on schedule Maintain organized files, templates, and production materials for ongoing advancement needs Development Operations & Fundraising Support Support fundraising operations including donor stewardship, sponsorship coordination, campaign support, and grants administration Maintain accurate CRM records, donor information, tracking systems, grant calendars, and development documentation Prepare donor communications, fundraising materials, stewardship items, and routine prospect research to support advancement goals Data, Reporting & Administrative Support Maintain organized databases, dashboards, CRM systems, and digital filing systems across advancement functions Assist with preparing reports, tracking metrics, and organizing data related to fundraising, communications, campaigns, and events Support administrative coordination including scheduling, document preparation, invoice tracking, and operational organization Vendor & Production Coordination Coordinate with vendors, consultants, printers, photographers, and production partners supporting communications and events Track production timelines, deliveries, invoices, and purchasing processes to support organized execution Help ensure quality control, accurate records, and timely completion of advancement-related projects and materials QUALIFICATIONS Required Experience 3–6 years of experience in marketing, communications, nonprofit development, or related fields AA degree required, BA preferred, with degree or certificates in marketing, communications, and development. Comfortable working in schools, events, and onsite environments Experience coordinating events or community engagement activities Experience supporting grant writing or fundraising activities Strong writing and communication skills Successful experience with communications applications (Canva and Adobe preferred) Experience with CRM systems (Salesforce preferred) Highly organized with strong ability to manage logistics and details Willingness to travel locally between schools and event sites regularly Skills Proficiency with Canva and/or Adobe Creative Suite Experience managing website CMS platforms Experience with email marketing platforms and social media scheduling tool Salesforce or CRM experience preferred Strong presentation, formatting, and document production skills Experience with event registration and fundraising platforms preferred Strong organizational and project management skills with attention to detail Ability to manage multiple projects, deadlines, and priorities simultaneously LOCATION & TRANSPORTATION This role requires full time in person presence at our Support Office in Oakland with frequent flexibility to travel between all Envision and event sites in San Francisco, Oakland, and Hayward. A valid driver's license and access to a reliable vehicle is required for frequent inter-site travel, which may involve transporting equipment and materials. This dynamic role takes place on multiple campuses and may require physical activities such as driving, lifting, moving, or navigating different terrains and stairs. Personal vehicle mileage is reimbursable for work-related travel between school sites. Regular commuting is not reimbursable. COMPENSATION & BENEFITS Commensurate with experience and credentials. The starting range for this role is between $70,000-$83,000. Benefits are competitive and include: Paid sick leave Paid vacation time Excellent health benefits package with employer contribution to benefits.
