Job Details Wage range: $23.34 to $27.58 per hour Shift structure: Monday to Friday, 7.25 hours per day Primary location: Edmonton, CASA West Union: In-scope Classification: Administrative Support II FTE: 1.0 Status: Permanent About the Role The Program Support Specialist/Physician Support Specialist provides specialized administrative and clinical-adjacent support to physicians and medical clinic operations within CASA Mental Health. This role supports clinical care delivery by coordinating physician schedules, maintaining accurate clinical documentation, supporting EMR workflows, and ensuring efficient day-to-day clinic operations. Working closely with physicians, nurses, clinicians and administrative teams, the role requires strong attention to detail, knowledge of medical terminology, sound judgment and the ability to work independently within established procedures. Accuracy, confidentiality and adaptability are essential, as the role directly supports clinical operations and patient care continuity. The Program Support Specialist/Physician Support Specialist will: Provide administrative and clinical-adjacent support to physicians and medical clinic teams. Coordinate physician clinic schedules, appointment bookings, re-bookings and follow-up sessions using EMR and Outlook systems. Support virtual, in-person and telephone appointments, including room bookings and videoconferencing coordination. Manage physician-related EMR workflows including chart closures, document uploads, task routing and maintenance of clinical records. Complete medical transcription and prepare clinical documentation including consultation materials, discharge summaries and external forms. Prepare spreadsheets, tracking tools, reports and operational documentation to support clinic workflows and physician activity. Track onboarding, training and certification requirements and support orientation activities for new team members. Coordinate meetings, agendas, case conferences and meeting minutes. Liaise with physicians, clinical teams, leadership and external stakeholders to support communication and continuity of care. Maintain confidential records and ensure compliance with privacy legislation, CASA policies and information management standards. Collect vital signs in accordance with established protocols and training requirements. Initiate referrals and appropriately escalate crisis calls following established procedures. Support workflow improvement initiatives and provide cross-coverage within Clinical Administration during absences or peak operational periods. Knowledge, Skills and Abilities Strong knowledge of medical terminology and clinical administrative processes. Proficiency in Microsoft Word, Outlook and Excel. High level of accuracy with data entry and documentation management. Strong organizational, multitasking and problem-solving skills. Excellent verbal and written communication skills. Ability to work independently while managing competing priorities in a fast-paced clinical environment. Professional, respectful and compassionate approach when working with children, youth and families. Ability to maintain confidentiality and exercise sound judgment in sensitive situations. Experience supporting trauma-informed and culturally safe care environments is considered an asset. Knowledge and experience working with Indigenous communities, LGBTQ2S+ populations, and children/youth who have experienced trauma is considered an asset. Qualifications and Experience Medical Office Assistant and/or Business Administration diploma/certificate required, or equivalent experience. Minimum of two years of related administrative experience in a medical office setting. Medical Office Administration or Medical Transcription certification is considered an asset. Conditions of Employment A satisfactory Criminal Record Check with Vulnerable Sector Search and Child Intervention Check. This will be the financial responsibility of the successful candidate. Ability to obtain and maintain Therapeutic Crisis Intervention (TCI) certification (training provided by CASA) and physical ability to perform interventions as required. Working Conditions Manual dexterity to use mouse, keyboard and computer. Sitting and standing for extended periods of time. Must be able and willing to lift and carry up to 10 pounds. Travel between CASA sites may be required. Primarily remote work environment with in-person attendance required based on operational needs. Accuracy, confidentiality and adaptability are essential, as the role directly supports clinical operations and patient care continuity.  <img alt=\"\" height=\"1\" src=\"https://assets.jazz.co/customers/customer_20221024164628_EMT0I3CIUAXEZYUJ/layout/20260520213356-image-20260520153356-3.png\" width=\"1\"></p><p><strong>The Program Support Specialist/Physician Support Specialist will: </strong></p><ul><li><p>Provide administrative and clinical-adjacent support to physicians and medical clinic teams.  </p></li></ul><ul><li><p>Coordinate physician clinic schedules, appointment bookings, re-bookings and follow-up sessions using EMR and Outlook systems.  </p></li></ul><ul><li><p>Support virtual, in-person and telephone appointments, including room bookings and videoconferencing coordination.  </p></li></ul><ul><li><p>Manage physician-related EMR workflows including chart closures, document uploads, task routing and maintenance of clinical records.  </p></li></ul><ul><li><p>Complete medical transcription and prepare clinical documentation including consultation materials, discharge summaries and external forms.  </p></li></ul><ul><li><p>Prepare spreadsheets, tracking tools, reports and operational documentation to support clinic workflows and physician activity.  </p></li></ul><ul><li><p>Track onboarding, training and certification requirements and support orientation activities for new team members.  </p></li></ul><ul><li><p>Coordinate meetings, agendas, case conferences and meeting minutes.  </p></li></ul><ul><li><p>Liaise with physicians, clinical teams, leadership and external stakeholders to support communication and continuity of care.  </p></li></ul><ul><li><p>Maintain confidential records and ensure compliance with privacy legislation, CASA policies and information management standards.  </p></li></ul><ul><li><p>Collect vital signs in accordance with established protocols and training requirements.  </p></li></ul><ul><li><p>Initiate referrals and appropriately escalate crisis calls following established procedures.  </p></li></ul><ul><li><p>Support workflow improvement initiatives and provide cross-coverage within Clinical Administration during absences or peak operational periods.  </p></li></ul><p><strong>Knowledge, Skills and Abilities </strong></p><ul><li><p>Strong knowledge of medical terminology and clinical administrative processes.  </p></li></ul><ul><li><p>Proficiency in Microsoft Word, Outlook and Excel.  </p></li></ul><ul><li><p>High level of accuracy with data entry and documentation management.  </p></li></ul><ul><li><p>Strong organizational, multitasking and problem-solving skills.  </p></li></ul><ul><li><p>Excellent verbal and written communication skills.  </p></li></ul><ul><li><p>Ability to work independently while managing competing priorities in a fast-paced clinical environment.  </p></li></ul><ul><li><p>Professional, respectful and compassionate approach when working with children, youth and families.  </p></li></ul><ul><li><p>Ability to maintain confidentiality and exercise sound judgment in sensitive situations.  </p></li></ul><ul><li><p>Experience supporting trauma-informed and culturally safe care environments is considered an asset.  </p></li></ul><ul><li><p>Knowledge and experience working with Indigenous communities, LGBTQ2S+ populations, and children/youth who have experienced trauma is considered an asset.  </p></li></ul><p><strong>Qualifications and Experience </strong></p><ul><li><p>Medical Office Assistant and/or Business Administration diploma/certificate required, or equivalent experience.  </p></li></ul><ul><li><p>Minimum of two years of related administrative experience in a medical office setting.  </p></li></ul><ul><li><p>Medical Office Administration or Medical Transcription certification is considered an asset.  </p></li></ul><p><strong>Conditions of Employment </strong></p><ul><li><p>A satisfactory Criminal Record Check with Vulnerable Sector Search and Child Intervention Check.
