Position Summary
The Communication and Grant Specialist, DEFENDS, is a pivotal, high-impact role at the intersection of cutting-edge defence innovation, academia, and national sovereignty. Supporting the Dual-Use Ecosystem for Future Engineering, National Defence, and Sovereignty (DEFENDS), you will serve as the primary conduit between complex academic research and federal/provincial funding bodies, positioning the University of Alberta at the forefront of Canada’s defence priorities. In this sophisticated position, you will lead the drafting of complex, high-stakes grant proposals, translate technical milestones into rigorous progress reports, and manage external-facing digital and marketing content.
Your expertise in technical communication will ensure that highly specialized engineering advancements are clearly articulated into compelling value propositions that maintain stakeholder confidence and secure ongoing financial backing. This role offers an exceptional opportunity for a skilled professional to drive the growth of a secure, multi-sector ecosystem and directly contribute to the advancement of national security technologies.
Responsibilities
Lead End-to-End Grant Development: Oversee the writing, structuring, and coordination of complex, large-scale funding proposals to provincial, federal, and international agencies (e.g., Alberta Innovates, DND IDEaS, NATO DIANA, NSERC). Translate Technical Milestones: Collaborate with academic researchers and technical teams to translate highly specialized engineering data and research artifacts into accessible briefing notes, executive summaries, and formal progress reports. Manage Reporting and KPIs: Draft formal milestone reports that accurately map technical outputs against the program's economic KPIs, including job creation, Technology Readiness Level (TRL) advancement, and private investment. Ensure Security and Compliance: Oversee the DEFENDS document management system, ensuring all archived data, technical proposals, and research artifacts strictly adhere to national security guidelines, data classification models, and Controlled Goods protocols. Drive Funding Strategy: Monitor global defence and technology trends to inform the narrative strategy of future grant applications, ensuring proposals remain highly competitive and aligned with national security priorities. Provide Strategic Communications Counsel: Advise the Director and Director of Operations on internal and external communication strategies, identifying key messaging, target audiences, and maintaining a unified, professional DEFENDS brand. Coordinate Multi-Disciplinary Teams: Partner with researchers and project leads to gather technical specifications, establish application timelines, track deliverables, and ensure the timely submission of competitive funding bids. Facilitate Knowledge and Information Flow: Act as the internal liaison to collect lab success stories, manage the flow of information regarding grant deadlines, and edit internal communications to ensure team alignment and quality control.
Qualifications
A university degree in a relevant field such as Communications, Journalism, English, or Science/Engineering. Minimum five years of professional work experience preparing grants, scientific manuscripts, or technical reports. Exceptional writing, editing, and proofreading skills, with the ability to translate complex scientific and technical information into clear, compelling, and accessible language. Proven ability to manage multiple writing projects simultaneously, meet strict deadlines, and work independently with a high degree of initiative. Strong research and information-gathering skills to source and verify data from various subject matter experts. Proficiency with Microsoft 365 and/or Google Workspace with experience working across multiple platform ecosystems. Excellent interpersonal and organizational skills; ability to multi-task and work productively with great autonomy.
