The incumbent will own work orders, vendor coordination, preventative maintenance programs, and client relationships, ensuring seamless delivery, quality control, and operational efficiency across all service work.</p>\n<p><br></p>\n<p><span style=\"font-weight: bold\">Key Duties/Responsibilities</span></p>\n<p><span style=\"font-weight: bold\">Work Order &amp; Project Ownership</span></p>\n<ul>\n<li>Own the full lifecycle of work orders and service projects—from intake to completion</li>\n<li>Plan, estimate, schedule, and execute maintenance work across multiple sites</li>\n<li>Review scopes, RFQs, POs, invoices, and service documentation</li>\n</ul>\n<p><br></p>\n<p><span style=\"font-weight: bold\">Vendor &amp; Subtrade Management</span></p>\n<ul>\n<li>Source, coordinate, and manage vendors and subtrades</li>\n<li>Ensure clear scope alignment, competitive pricing, and quality delivery</li>\n<li>Build strong relationships with reliable service partners</li>\n</ul>\n<p><br></p>\n<p><span style=\"font-weight: bold\">Client &amp; Stakeholder Communication</span></p>\n<ul>\n<li>Act as a key point of contact for clients</li>\n<li>Provide proactive updates and ensure strong service experience</li>\n<li>Coordinate across internal teams, site staff, and vendors</li>\n</ul>\n<p><br></p>\n<p><span style=\"font-weight: bold\">Quality Control &amp; Site Presence</span></p>\n<ul>\n<li>Conduct site visits to verify progress, safety, and quality</li>\n<li>Perform post-work inspections and ensure minimal rework</li>\n<li>Maintain a visible and professional presence on-site</li>\n</ul>\n<p> </p>\n<p><span style=\"font-weight: bold\">Financial &amp; Operational Support</span></p>\n<ul>\n<li>Own the estimating, quoting, and budgeting process</li>\n<li>Support invoicing, AR/AP coordination, and cost tracking</li>\n<li>Monitor timelines, risks, and performance metrics</li>\n</ul>\n<p> </p>\n<p><span style=\"font-weight: bold\">Process Improvement</span></p>\n<ul>\n<li>Help standardize workflows and improve operational efficiency</li>\n<li>Contribute to SOP development and scalable processes</li>\n<li>Support adoption of systems and tools (e.g., Spectrum, tracking systems)</li>\n</ul>\n<p><br></p>\n<p><span style=\"color: rgb(72, 65, 63); font-size: 12pt; font-weight: bold\">Who You Are:</span></p>\n<ul>\n<li>You have 3–5+ years of experience in facilities, maintenance, construction, or service operations</li>\n<li>You are hands-on and solutions-oriented—you don’t wait for problems, you anticipate and resolve them</li>\n<li>You are comfortable managing multiple work orders, vendors, and priorities simultaneously in a fast-paced environment</li>\n<li>You have a solid understanding of building systems, maintenance practices, and trade coordination</li>\n<li>You are confident in estimating, quoting, and managing costs</li>\n<li>You bring strong communication skills and are comfortable working directly with clients, vendors, and internal teams</li>\n<li>You are highly organized and detail-oriented, with strong follow-through</li>\n<li>You are comfortable working both in-office and on-site, with flexibility for after-hours coordination </li>\n<li>You are adaptable and open to learning new systems and tools (e.g., Spectrum or similar platforms)</li>\n</ul>\n<p><br></p>\n<p>This is a replacement position within the team.</p>\n<p><br><br></p>\n<p><em>Our organization may use automated tools, including artificial intelligence (AI) or algorithm-assisted systems, to support the initial review of applications.
