Description
The Offsite Manager is responsible for overseeing the daily operations and facility management of multiple practice locations, ensuring consistent performance, regulatory compliance, and a high-quality patient experience. This role collaborates closely with department and executive leaders to drive operational efficiency and reduce variability, with strong focus on building compliance, vendor coordination, and operational standardization across all locations.
Responsibilities:
Multi-Site Operations Oversight
• Provide leadership and support to departmental managers across multiple locations (clinical, patient access, and optical).
• Conduct routine site visits to assess operations, patient flow, and staff performance.
• Actively fill in when there are high-patient volume days and/or staff call-ins, where appropriate.
• Ensure consistency in workflows, policies, and patient experience across all locations.
• Identify operational gaps and implement process improvements aligned with organizational goals.
Building & Facility Compliance
• Ensure all facilities meet federal, state, and local regulatory requirements, including healthcare-specific standards (e.g., OSHA, HIPAA, infection control).
• Maintain and monitor a facility compliance calendar for inspections, certifications, and required documentation.
• Oversee compliance with medical office building standards (e.g., life safety, fire systems, emergency preparedness).
• Partner with leadership to ensure readiness for audits, accreditation surveys, and inspections.
• Maintain accurate records of compliance activities, corrective actions, and vendor services.
Vendor & Facility Management
• Coordinate and manage vendors for facility maintenance, repairs, and services (HVAC, janitorial, landscaping, security, etc.).
• Obtain quotes, manage service agreements, and ensure timely completion of work.
• Monitor vendor performance and cost-effectiveness across all sites.
• Assist in capital planning for facility upgrades, expansions, or renovations.
Safety & Risk Management
• Promote a culture of safety across all locations.
• Ensure implementation of workplace safety programs and incident reporting processes.
• Investigate facility-related incidents and coordinate corrective actions.
• Partner with HR and leadership on risk mitigation strategies.
Financial & Operational Optimization
• Assist in managing facility-related budgets, including maintenance and capital expenses.
• Identify cost-saving opportunities while maintaining quality and compliance.
• Track and report on key operational and facility metrics.
Communication & Leadership
• Serve as a primary point of contact for off-site operational and facility issues.
• Provide regular updates to executive leadership on site performance and compliance status.
• Support training and development of site-level leaders related to operations and compliance.
