Department Overview This important position will support the VP/Chief Sustainability and Social Impact officer and two Senior Directors. In this role, you will be a critical team member and will perform a wide variety of specialized and administrative functions. You must possess strong organizational and communication skills and demonstrate a proven track record of getting results. This role will report directly to VP/Chief Sustainability and Social Impact officer. As a key member of the Sustainability and Social Impact team, the Administrative Assistant will embody and promote our commitment to inclusion and service. This role supports leaders who drive meaningful change, and we seek candidates who are passionate about contributing to a purpose-driven culture. Duties Provide high‑level, proactive administrative support to a senior executive, including complex calendar management, meeting coordination, and day‑to‑day prioritization for Vice President and both Senior Directors. Anticipate executive needs, manage competing priorities, and operate independently with minimal direction in a fast‑paced environment. Serve as a trusted partner by exercising sound judgment, discretion, and professionalism at all times. Manage and coordinate logistics across Vice President and Senior Directors while ensuring accuracy and follow‑through. Demonstrate exceptional organizational, time‑management, and multitasking skills to ensure deadlines and deliverables are met. Oversee monthly and weekly meetings, managing event logistics, agenda creation when needed, attendee experience, and communication. Coordinate travel (domestic and international) arrangements and logistics including itinerary building and expense report processing. Act as primary liaison between Vice President, Senior Directors, other departments and suppliers; ensuring effective communication of messages, priorities and directives Process invoices and vendor contracts in a timely manner, including issue tracking and resolution Support department-wide communications through emails, Teams messaging, and webcast support Maintain distribution lists and facilitate information sharing Maintain on‑site presence that aligns with the VP’s schedule, ensuring in‑office availability during leadership’s core hours and key on‑campus commitments to provide timely, real‑time administrative support.   Qualifications 5+ years in executive support, office management, or similar roles Experience with travel coordination and expense processing Strong multitasking, organization, communication, and project management skills Proficiency using Microsoft 365 tools (Teams, Outlook, Co-Pilot, collaboration features) to streamline executive support and improve coordination. Curious and proactive about learning new tools and technologies Polished, professional, proactive, and detail-oriented Strong communication, project management, and critical thinking skills Reliable, results-oriented, and able to anticipate needs Comfortable working in a fast-paced environment Comfortable working with senior leadership and managing confidential information Compensation Bonus Eligible: Yes Benefits Eligible: Yes Salary Range The expected salary range for this role is $30.87 - $38.59 per hour.
