CITY OF DORAVILLE, GEORGIA POSITION DESCRIPTION Position Title: Deputy Court Clerk I Reports To: Clerk of Court Department: Municipal Court FLSA Status: Non Exempt Job Posting Title: Deputy Court Clerk I Summary of Position : This position performs clerical work in the Municipal Court system of the City. Work in this position involves receiving payments at the window and through the mail, recording payments and issuing receipts, entering citation dispositions into the court management system, filing citations, and responding to disposition requests. Additionally, this position answers telephone inquiries and works in the courtroom as needed. Must possess strong customer service skills. Essential Duties and Responsibilities : The following duties are representative of the responsibilities assigned to this position. The omission of specific duties does not exclude them if the work is similar, related, or a logical assignment for this classification. Other duties may be assigned as needed. Provides assistance to the public, defendants, attorneys, and internal customers regarding court citations, reports, fines, warrants, and records via telephone, email, and in person. Assists with the preparation of court dockets and ensures all tickets and supporting paperwork are prepared for court proceedings. Maintains records of dispositions, warrants, and court-related files. Accepts and records payments for fines and fees and prepares daily cash drawer batches for deposit. Enters citations, including traffic citations, parking tickets, and code compliance violations, into the court management system. Enters disposition information into the court management system accurately and timely. Utilizes Court systems and other court management systems to process citations, warrants, probation matters, courtesy letters, and court documentation. Processes incoming and outgoing mail, faxed documents, attorney filings, and open records requests in accordance with applicable laws and court procedures. Performs general office duties including filing, copying, typing, scanning, and distributing mail and other documents. Responds to disposition requests, warrant inquiries, and open records requests. Assists in the courtroom as needed during arraignments, jail court, bench trials, code enforcement hearings, and other court proceedings. Exercises sound judgment while maintaining confidential and sensitive information, records, and reports. Processes and manages bench warrant warrants and probation warrants, including but not limited to drafting warrant documentation, obtaining judicial signatures, maintaining warrant files, and distributing original copies to Radio/Dispatch. Handles probation-related paperwork, scans and files court documents, drafts courtesy letters and accusations, and submits applicable suspensions to DDS. Assists with court operations during various calendars by preparing and processing court paperwork and order/sentence sheets. Clears warrants, updates court dates, maintains warrant logs, and ensures accurate recordkeeping within the court management system. Performs other related duties as assigned. Desired Skills and Qualifications: Ability to work effectively with Judges, Solicitors, Public Defenders, Defense Counsel, court personnel, and the general public. Proficient in the use of computers, court management systems, and standard office equipment. Strong data entry and recordkeeping skills. Ability to communicate clearly and professionally, both orally and in writing. Ability to speak and communicate fluently in Spanish is strongly preferred. Possess strong customer service and interpersonal skills. Experience using the JusticeOne court management system preferred. Experience processing and managing warrants preferred. Experience working with probation-related cases and documentation preferred. Experience handling open records requests preferred. Position Requirements Must be eighteen (18) years of age or older. Must have a high school diploma or GED. Must possess an associate degree or higher. Minimum of two years of experience in court operations. Ability to pass a pre-employment background investigation, to include but not limited to, a physical examination with drug screening and an oral interview. Must possess a valid Georgia driver’s license and maintain a satisfactory motor vehicle record. Bilingual-Spanish preferred. Must have the ability to obtain a GCIC Certification within 30 days. Must successfully pass a credit check. Required fingerprinting for GCIC purposes Additional Requirements Ability to exert moderate, though not constant physical effort, typically involving some combination of climbing and balancing, stooping, kneeling, crouching, and crawling, and which may involve some lifting, carrying, pushing and/or pulling of objects and materials of moderate weight (12-20 pounds). Ability to communicate orally and to perceive and discriminate colors or shades of colors, sounds, taste, odor, depth, texture, and visual cues or signals. Performance of essential functions may require exposure to dirt, dust, pollen, odors, wetness, humidity, rain, fumes, smoke, temperature and noise extremes, hazardous materials, fire, unsafe structures, heights, confined spaces, machinery, vibrations, electric currents, traffic hazards, bright/dim lights, toxic agents, explosives, water hazards, disease, pathogenic substances, or rude/irate customers. In compliance with the Americans with Disabilities Act, or other applicable law, the City will provide reasonable accommodations to qualified individuals with disabilities and encourages both prospective and current employees to discuss potential accommodations with the City.
