Que vas tu faire:
Ce poste coordonne le flux de documentation de l'agent au bureau, aux notaires et autres sociétés immobilières impliquées dans le contrat. Cela nécessite une attention maximale aux détails et des compétences organisationnelles élevées. Cette personne doit accorder une grande attention aux détails du contrat et au flux d'informations. eXp Realty est un environnement au rythme extrêmement rapide et les candidats doivent être extrêmement organisés et capables de gérer leur temps efficacement.
L' analyste des transactions est autonome, extrêmement minutieux, a besoin d'accomplir des tâches, est capable de se connecter avec toutes les personnalités, a une attitude accommodante et solidaire, trouve des solutions à l'amiable, ne prend pas de risques, suit les procédures et les politiques, et est non conflictuel. L’analyste des transactions doit avoir une grande attention aux détails et aimer travailler avec des faits, des chiffres et des systèmes, a la capacité de travailler devant un écran d'ordinateur pendant de longues périodes et préfère le travail en équipe. L’analyste des transactions possède de solides compétences verbales, écoute bien et traite les documents de l'entreprise avec précision, rapidité et est très organisée. Cette personne est calme sous pression.
Tâches et responsabilités principales:
Seul responsable de l'exactitude du traitement des fichiers de transaction à partir du moment où la transaction est conclue jusqu'à la clôture. Traitement supplémentaire des contrats d'inscription si nécessaire. Passez en revue les contrats et les documents d'accompagnement dans eZmax, effectuez la saisie de données dans BackOffice et Skyslope, calculez les commissions avec précision, vérifiez les données MLS. Traiter tous les types de transactions, y compris, mais sans s'y limiter : résidentielles, commerciales, baux, accords de service/frais, références, annulations. Demandez des documents supplémentaires aux courtiers/agents si nécessaire. Confirmez que tous les documents requis sont dans eZmax et faites un suivi avec les courtiers/agents lorsque des documents sont manquants. Transférer à un courtier gestionnaire désigné (DA) si nécessaire. Transmettre des instructions/factures précises et les documents d'accompagnement aux notaires et aux agences en temps opportun. Signaler les problèmes en suspens au chef d'équipe provincial des transactions. Suivez toutes les procédures décrites par le chef d'équipe. Maintenir les e-mails de transmission personnels et centraux, répondre aux courtiers / agents, au personnel et aux demandes externes de manière rapide et professionnelle. S'assure que les fichiers ont l'approbation finale (validation) par le DA. Communiquer avec le service des versements pour faciliter l'envoi des fonds aux notaires et la remise des commissions aux courtiers/agents et agences, si nécessaire.. Assiste à : orientation/formation, formation CANAFE, réunions d'équipe, réunions provinciales et nationales et à toute séance de formation mensuelle avec l'équipe des transactions.
Comment attirez-vous notre attention:
Doit être bilingue en anglais et en français 1+ années d'expérience dans le traitement des transactions immobilières préférable Expérience en informatique indispensable Connaissance de base des exigences de l'OACIQ et des transactions immobilières canadiennes et des processus provinciaux Connaissance de Google Docs & Sheets, et eZmax est un atout Doit être responsable, fiable et digne de confiance Axé sur les tâches, organisé, fait attention aux détails, suit les systèmes, travaille en équipe Capacité à établir des relations avec les courtiers/agents, notaires, DA, collègues Fonctionne bien dans des contraintes de temps et dans un environnement au rythme rapide. Restez adaptable et prêt à aider si nécessaire lorsque le conseil désigné est modifié ou que la gamme est élargie par le chef d'équipe ou le gestionnaire de transactions. Capable d'effectuer plus de 100+ transactions dans le cadre du processus. Le TS doit avoir la capacité de traiter les transactions rapidement et efficacement. Ce montant fluctue selon les instructions du chef d'équipe, en fonction du volume actuel de transactions téléchargées dans le système. What you will do:
Coordinating the flow of documentation from agent to the office, and onward to the solicitors and other real estate companies involved in the contract. It requires maximum attention to detail and high organizational skills. This person must give high attention to the details of the contract and the flow of information. eXp Realty is an extremely fast paced environment and candidates must be extremely organized and able to manage their time efficiently. A self-starter, extremely thorough, has a need to complete tasks, is able to connect with all personalities, has an accommodating, supportive attitude, finds amicable solutions, doesn't take risks, follows procedures and policies, and is non-confrontational. Must have strong attention to detail, and enjoy working with facts, figures and systems, has the ability to work in front of a computer screen for extended periods of time and prefers a team setting. Strong verbal skills, listens well and gets through the company paperwork accurately, quickly and is very organized. This person is calm under pressure.
Solely responsible for the accuracy of processing the deal files from the time the deal is entered to closing. Additionally processing listing contracts when necessary Review Contracts and accompanying docs in Skyslope, perform data entry into BackOffice, calculate commissions accurately, verify MLS data Process all types of transactions, including but not limited to: Residential, Commercial, Leases, Service/Fee Agreements, Referrals, Cancellations Request further documentation from agents when necessary by marking the item as Required in Skyslope Confirm that all required documentation is in Skyslope before closing Follow-up with agents when paperwork is missing. Escalate to a managing broker when necessary Generate Trade Records and provide a copy to the agent Ensures Deposit info entered in BackOffice is accurate and that the clients funds have been deposited into the trust account on time Convey accurate instructions/invoices and accompanying paperwork to solicitors and outside brokerages in a timely manner Report outstanding issues to the Provincial Transaction Team Lead Follow all procedures as outlined by the Team Lead Maintaining personal and central conveyance emails, responding to agents, staff and external inquiries in a timely and professional manner Ensures files have final sign off by Provincial Administrator Broker, if applicable Communicate with the payouts department to facilitate funds being sent to lawyers and commissions being releasable to agents and outside brokerages Attends: Orientation/Training, FINTRAC training, Team Meetings, Provincial and National Meetings, and Monthly Training Sessions with the Transaction Team
How will you grab our attention:
High School Diploma/GED required 2+ years of experience in real estate transactions processing required Computer experience essential Legal Real Estate conveyancing experience strongly preferred Basic knowledge of the Canadian Real Estate Transaction requirements & provincial processes Knowledge of Excel, Transaction Desk, Publisher, PowerPoint, LoneWolf an asset Must be responsible, dependable and trustworthy Task-oriented, organized, pays attention to details, follows systems, team-worker Ability to build relationships with Agents, Lawyers, Notaries, Managing Brokers Works well under time restraints and in a fast paced environment Remain adaptable and willing to help out where needed when the designated board is changed or the range expanded by the Team Lead or Transaction Manager Able to carry upwards of 200-300 transactions within the process Ability to process a minimum of 35 new deals per week within their assigned board(s). This amount will fluctuate as per the Team Lead’s instructions, depending on the current volume of transactions being uploaded into the system Bilingual (English/French)
