Description Location - This role is in-person at North Campus Edmonton. Reporting to the Manager, Student & Academic Services the DDS Curriculum Coordinator - Year 1 & 3 is a critical member of the Student & Academic Services unit in the School of Dentistry and works both independently and in a team to support and administer the many detailed and complex tasks associated with delivering the DDS curriculum. The DDS Curriculum Coordinator manages intricate, multi-layered course schedules, integrating lectures, labs, clinical rotations, and small group learning while proactively identifying and resolving logistical challenges. They oversee exam administration, student absence coordination, and Learning Management System (LMS)/Curriculum Management System (CMS) management, ensuring accurate course content, schedule adjustments, and compliance with academic policies to support the learning environment. The position demands a high level of initiative, strong interpersonal and communication skills, and the ability to handle multiple complex tasks in a clinical education environment. Additionally, the Curriculum Coordinator supports the Associate Chair, Clinical Education, in administrative duties. Critical to this role is the management of complex, multi-layered course schedules and the ability to anticipate potential risks in course planning. As the primary contact for student absence requests, the role ensures that all requests are documented, reviewed, and resolved in line with school policies, minimizing disruption to learning. Exam scheduling and proctoring are managed, with real-time troubleshooting to ensure a secure and smooth testing environment. In managing the LMS, the role ensures the accuracy of course-related data, the timely upload of materials, and the integration of schedule changes. Through ongoing support to faculty and students, training, and technical troubleshooting, this role employs a strategic approach to supporting and enhancing the student experience across the DDS program. Responsibilities Provide high-level administration to Course Directors for DDS Years 1 & 3, including complex course planning, resource allocation, and issue resolution. Design and implement detailed, multi-layered course schedules incorporating small group learning, personalized student schedules, and clinical rotations. Act as the primary liaison for course logistics, troubleshooting issues related to rooms, equipment, and technology, and resolving them independently or in consultation with Course Coordinators. Oversee the end-to-end process of room bookings via School and University systems, ensuring optimal utilization of facilities for classes, labs, seminars and exams. Support online learning, implementing technical solutions to enhance the delivery of online classes and examinations. Address and resolve student concerns, advocating for their needs, and escalating issues as necessary to appropriate leadership. Serve as the primary contact for student absence requests, ensuring compliance with school guidelines. Collect and verify supporting documentation, providing comprehensive summaries and recommendations to the Associate Chair for final approval or denial. Communicate outcomes and follow up with students to ensure appropriate measures are in place to account for absences, tracking absences to prevent policy breaches and scheduling make-up labs/clinics when necessary. Develop and maintain exam schedules, integrating various formats (e.g., written, computer-based, OSCE, practical) to ensure smooth execution across the DDS program. Prepare examination and lab assessment materials using specialized software (e.g., exam.med, assess.med) ensuring accuracy and compliance with exam outlines and guides. Oversee administration of the CMS and LMS, managing user access and ensuring secure, role-appropriate system usage for students, faculty, and guest lecturers. Enter, maintain, and audit all course-related data in CMS and LMS, ensuring learning materials for labs, clinics, seminars, and student schedules are accurate and available as scheduled. Develop and implement content management workflows, ensuring timely and accurate uploads of course materials, including multimedia content, outlines, and schedules. Oversees the communication and application process for internal and external DDS awards, ensuring timely dissemination of information to students. Tracks award decision dates, and schedules committee meetings. Qualifications Undergraduate degree preferred; equivalent combinations of education and experience will be considered; minimum completion of post-secondary education Minimum 2 years directly related student advising experience at a post-secondary institution; University of Alberta student services experience is an asset Ability to exercise independent judgment and handle difficult/complex situations with diplomacy and sensitivity Demonstrated ability to maintain confidentiality when working with highly sensitive information Excellent computer knowledge including Canvas and Google Suite is required; experience with Cally, PeopleSoft and Alfresco an asset Demonstrated ability to adapt to changing technology Exceptional attention to detail and precision Application Instructions Click "Apply Now" to submit your resume and cover letter.
