Description

SUMMARY: The ADR administrative assistant provides administrative support for ADR services. This position provides all necessary organizational and legal support for Alaris ADR. Responsible for other tasks on an as needed basis. Essential Functions: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Handles all scheduling of mediations, arbitrations, special master hearings and ADR-related room rentals. Proficient with Zoom (training is available) to assist clients and neutrals with remote proceedings. Greets and directs parties and neutrals as they arrive for an ADR proceeding. Provides menus and obtains lunch orders for every party who chooses to order lunch. Maintains communication with local restaurants/catering options and ensures lunch is ordered, delivered and distributed on time. Maintains receipts for all orders and files each receipt in a timely fashion. Maintains a master Excel spreadsheet with up-to-date detailed case information. Sends email reminders to all clients with accurate details for their upcoming ADR matter. Ability to comprehend and draft legal orders. Ability to create and file e-filings with the courts including documents and exhibits in State and Federal Court. Uploads documents from court sites as needed. Fundamental understanding of the courts, parties to a lawsuit, civil procedure, legal terminology and ADR Rules for mediations and arbitrations. Assists with every Special Master case including knowledge of the parties, billing procedures and maintaining information for new and current Special Masters. Acts as the point person for all Special Master inquiries/scheduling. Assists with every Arbitration including knowledge of the parties, billing procedures and acts as the point person for all Arbitration inquiries/scheduling. Maintains a list of every state’s requirements for mediators. Updates list as necessary and remains proficient in the individual requirements and specificities. Creates and maintains a list of mediation trainings available for Missouri, Illinois, Arkansas and various District Courts. Assists Director with planning and implementing CLEs and educational opportunities. This includes obtaining/confirming speakers, creating webinar links, uploading information to the website and obtaining CLE credit. Prepares a requisition for each case including all pertinent information. Ensures all information is accurate for billing including splits among parties and additional expenses incurred during the mediation. Confirms schedules with neutrals and maintains the online calendars. Communicates with others on the ADR team to ensure quality client services. Ensures cleanliness of the conference rooms and offices. Maintains and coordinates master calendar of scheduled matters; checks for conflicts with client concierge. Maintains and updates databases as needed. Manages correspondence and preparation of documents and other materials necessary for mediations and arbitrations. Ability to remain after hours as needed if an ADR proceeding extends beyond normal business hours. Ability to assist with the front desk and receptionist, answering and directing phone calls. Training for neutrals on software as needed. Attends after hours events as needed. Performs other duties as requested. C OMPETENCIES, SKILLS AND ABILITIES Must be an independent thinker. Works well with others. Ability to work well under pressure and remain calm and professional. Ability to multi-task, plan and prioritization skills. Clearly possesses customer relations, maintains professional demeanor. Must be a positive team player and be able to communicate with team members. Possesses excellent verbal communication skills and able to neatly write / type instructions. General computer skills (Outlook, Word, Adobe Acrobat, Internet Explorer, Windows, and Outlook) Flexible schedule and available to work occasional overtime as required. Accepts direction well. EDUCATION / EXPERIENCE Education: College degree preferred, or an equivalent of education plus experience in an office environment. Five plus years related experience with proven office administration and customer service skills required. Experience multiple deadlines required. Ability to work across teams and with a variety of projects and constituencies. SUPERVISORY RESPONSIBILITIES: None LANGUAGE SKILLS Ability to effectively present information and respond to questions from internal and external customers whose first language is English.
