Health Forward was created in 2003 from the sale of Health Midwest, a nonprofit hospital system, to Hospital Corporation of America (HCA), a for-profit hospital management company. Health Forward’s service area encompasses Kansas City, Missouri, and Jackson, Cass, and Lafayette counties in Missouri, and Johnson, Wyandotte, and Allen counties in Kansas. The foundation is governed by a 21-member board of directors and is managed by a professional staff of around 40 employees.

The Executive Assistant plays a critical role in providing administrative and governance support to the Health Forward Foundation President and Chief Executive Officer (CEO) and Chief Operations Officer (COO). This role is responsible for executing a range of administrative and project-based activities including confidential matters with the highest professionalism, discretion, and confidentiality. The assistant is the central point of contact for a diverse stakeholder group, including the Board of Directors and Community Advisory Council (CAC) members, visitors, external partners, and internal colleagues. As a representative of the President and CEO, the Executive Assistant must demonstrate an advanced ability to discern points of internal and external intersection and opportunity within their work and demonstrate prudence in addressing them. The associate must maintain a high degree of decorum, internally, and in the community.
Responsibilities
Manage and prioritize all administrative and operational tasks and duties associated with the operations of Executive offices to ensure they are conducted in a professional, thorough, and efficient manner. Such functions include, but are not limited to:
Complex calendaring/time management, meeting agenda development, and travel management for President/CEO, COO, and the board of directors upon request.
Project management (i.e., managing complex logistics, coordinating strategic initiatives, and integrating workstreams from various functional areas)
Reporting, analysis, and creating visual presentations
Tracking progress on departmental operations, filing expense reports, etc.
Document management and records retention compliance.
Provide Governance Coordination in support for the Board of Directors, CAC, and respective committees through the matrixed leadership of the Head of Executive Affairs.
Perform Governance administrative functions (i.e., meeting notices, meeting minutes, doodle polls, communications coordination, and meals coordination, etc.) as requested
Complete annual processes for Governance (i.e., Annual CAC fundraising mailing, conflict of interest database management)
Knowledgeable of governance timeline and tasks required to support Board and Committee activities
Ensure all communication is accurate, timely, and demonstrates a high degree of professionalism
Manage all administrative, operational, and logistical tasks for correspondence to the President and CEO and COO offices, ensuring communications are handled efficiently and shared with relevant associate(s), when necessary, through the matrixed leadership of the Head of Executive Affairs
Partner with administrative support colleagues to manage the reception of visitors and represent the organization in a professional and friendly manner
Partner with administrative support colleagues to perform general office administrative duties for the Leadership Team and Governance meetings (e.g., assist in meeting set-up, A/V preparation, refreshments, meeting space and kitchen clean up, etc.)
Qualifications
Demonstrated experience providing executive support in a fast-paced, service-oriented environment. Ownership and pride in the role and work of administrative professional.
Adept in forecasting and solutioning needs in a self-directed yet collaborative manner, particularly in applying or gathering intelligence to know when and how to engage other leaders on points of intersection
Results-oriented professional with demonstrated initiative to deliver with excellence
Demonstrated knowledge and experience with the MS Office Suite including a higher level of proficiency in AI editing tools and presentation software (like PowerPoint). Additional skills and experience with office automation tools, including phones, computers and related software, database reporting, etc. are preferred
Exceptional organizational skills exercising attention to detail and follow through and demonstrated success with managing multiple tasks
Project management skills
Excellent written and verbal communication and interpersonal skills, demonstration of professionalism and ability to connect with respect regardless of position or socioeconomic status.
The ideal candidate is proactive and organized with a reputation for excellence, persistence, flexibility, dependability, collaboration, and teamwork. Must possess ability to remain calm in the face of changing priorities and work with a sense of urgency
Minimum 7 years of combined education and/or related progressive work experience
Personal Qualities
Must believe in and practice trust, partnership, learning, stewardship, accountability, creativity, collaborative decision-making, employee empowerment, equity/inclusion and anti-racism.
Compensation
The anticipated hiring salary range for this position is $69,600 – 87,000. The package will be determined by the experience level, credentials, and personal characteristics of the candidate offered.
