Job Summary
The TIRN Program Coordinator manages daily operations of the TIRN Program as well as specific grants and gifts related to immigration programming at the clinic. This position also exercises independent decision-making and analysis relating to daily operations of TIRN.
The Program Coordinator plays a critical role in supporting the mission of TIRN by helping community members; particularly those with limited English proficiency access legal services, understand their rights, and navigate complex legal systems. This position serves as a bridge between clients, the community, and clinic staff, ensuring that individuals receive culturally responsive, language ‑ accessible assistance. The ideal candidate is compassionate, organized, and deeply committed to expanding access to justice for underserved communities.
Essential Functions (Responsibilities)
Supervises compliance with all internal case management policies and procedures.
Supervises legal clinic student worker and department assistant in their work with TIRN.
Responsible for determining intake priorities based on assessment of immigrant community need.
Responsible for ensuring compliance with all regulations and grant requirements for immigration programs.
Manages, trains, and supports immigration program staff on case management system and related software platforms.
Supervises interns and student workers in the clinic immigration programs.
Manages and maintains client relationships.
Develops, with the approval of the Clinic Director and Clinic Coordinator, the annual and long-term budgets for TIRN. This includes the following tasks:
Preparation of budgets, grant applications, and reports.
Assists Clinic Director and Clinic Coordinator with preparation of grant applications and reporting compliance for TIRN.
Serve as a liaison between TIRN and non-citizen communities by providing information about available legal services, assisting community members in accessing clinic programs, and representing the clinic at outreach events.
Build and maintain trusting relationships with community members, partner organizations, service providers, and advocacy groups to strengthen referral pathways and improve access to legal assistance.
Responsible for providing assistance to TIRN clients with navigating legal processes, including but not limited to helping with intake, providing language support, and connecting individuals to appropriate resources.
Assess and monitor emerging legal needs by engaging with clients, attending community events, and communicating trends or barriers to the Clinic Coordinator.
Collaborate closely with attorneys, teams, and administrative staff to ensure smooth coordination of client services, including follow-up, completion of immigration forms, documentation, and referring clients to internal or external resources.
Translate and interpret (verbally and in writing) to ensure that non ‑ English ‑ speaking clients understand their rights, legal options, and clinic services.
Help disseminate legal rights education materials, community announcements, clinic updates, and information about policy changes relevant to the populations served.
Plans and implements educational workshops, legal clinics, pro bono events, and outreach initiatives to expand access to justice and empower community members.
Supervises the collection and maintenance of data related to client engagement, referrals, outreach activities, and service outcomes to support reporting, grant compliance, and program evaluation.
Provide general administrative support as needed to ensure efficient clinic operations, including client communication, scheduling, data entry, document organization, and coordination with volunteers or partners.
Equivalent Education and Experience:
Preference for Bachelor’s Degree or Associate’s Degree in paralegal studies At least two years of experience working in an immigration law office or non-profit Additional training or certification in Community Legal Work, case management, or trauma ‑ informed practices is a plus Experience working with diverse, low‑income, immigrant, or limited‑English‑proficient communities Familiarity with local Tulsa community resources, nonprofits, government agencies, and referral systems Experience providing client intake, needs assessments, referrals, or direct community outreach Strong preference for Spanish language fluency
Experience in bilingual communication, interpretation, or translation (Spanish/English or other relevant languages), especially in advocacy or service settings Prior experience in environments requiring high-volume client contact, cultural competency, and strong interpersonal skills Preferred Qualifications

Operate in a professional office environment and requires the ability to sit for long periods of time with intermittent walking, standing, bending, squatting, pulling, and pushing. Essential physical requirements, such as climbing stairs. Ability to use standard office equipment such as scanners, computers, keyboards, phones, shredders, photocopiers, and filing cabinets.
