SUMMARY OF ROLE The Billing Specialist I is responsible for ensuring accurate entry, auditing, and management of timecards within the internal payroll and billing systems. This role requires consistent communication with the payroll department to ensure accuracy and compliance, maintaining knowledge of billing rules for assigned facilities, and assisting with the management of email communications related to billing and timekeeping issues across various brands. Key Responsibilities Areas: •    Timecard Entry and Auditing: o    Accurately enter and audit timecards into internal payroll and billing systems to ensure precision and compliance. o    Verify all time-related data to prevent errors and discrepancies. •     Collaboration with Payroll Department: o    Maintain constant communication with the payroll department to ensure smooth processing of timecards. o    Troubleshoot and resolve issues related to payroll processing in a timely manner. •     Billing Rules Knowledge: o    Gain and maintain a comprehensive understanding of the billing rules specific to each assigned facility. o    Apply facility-specific billing rules to ensure accurate and compliant billing. •     Backup Documentation Management: o    Ensure proper maintenance of backup documents (e.g., nurse controlling and non-controlling reports) in the system. o    Regularly update and organize necessary documents for easy access and review. •     Compliance and Deadline Adherence: o    Support the compliance process to ensure that all payroll and billing procedures meet internal deadlines. o    Assist in maintaining adherence to regulatory and organizational compliance standards. •     Email Communication: o    Send timely and professional email communications to agencies and facilities regarding various time-related issues, including: Missing Time Pending Time Timekeeping Information COMPETENCY REQUIREMENTS Fundamentals •     Requirement Updates: Has the ability to intake and process requirement update requests efficiently. This includes understanding the request process, gathering necessary information, and implementing changes with the aim of achieving full independence within three months. The goal is to minimize the need for audits by the Team Lead. •     Tasks: Has the capability to evaluate and complete both recurring and one-off task requests. This involves assessing task requirements, executing them accurately, and developing the skills necessary to work independently within three months, thereby reducing reliance on Team Lead oversight. •     Attention to Detail: Has the ability to recognize the importance of accuracy in all tasks and understand the potential consequences of errors. This competency involves meticulous review of work, ensuring all details are correct, and proactively identifying areas where precision is crucial to avoid negative outcomes. •     Time Management: Has the ability to balance a varied workload effectively and prioritize tasks based on urgency and importance. This includes adapting to changing priorities throughout the workday, utilizing tools or techniques to manage time efficiently, and ensuring that all tasks are completed in a timely manner. •     Meeting Deadlines: Has the ability to develop habits and organizational skills necessary to consistently meet all timelines and expectations associated with requirement updates and assigned tasks. This includes planning ahead, monitoring progress, and communicating proactively about any potential delays. •    Professional Communication: Has the ability to communicate clearly and professionally with internal teams. This involves conveying information effectively, listening actively and maintaining a professional demeanour in all interactions to foster a collaborative work environment. Independent Workload •     Managed Workload: Has the ability to maintain an independent workload once fully trained. This involves self-direction in task management, prioritizing work without external prompts, and effectively handling all assigned responsibilities. •     Overflow Support: Has the willingness and capability to assist with overflow tasks or projects from other teams as needed. This includes being flexible and responsive to team needs, contributing to overall team deadlines, and demonstrating a collaborative spirit. Communication •     Internal Relationships: Has the skill to build and maintain strong relationships with other Team Leads. This involves establishing trust, being approachable, and actively engaging with colleagues to create a supportive work environment. •     Team-Oriented Mindset: Has the ability to handle internal conflicts constructively and with a positive, team-oriented approach. This competency includes promoting collaboration, resolving disagreements amicably, and fostering a culture of teamwork. •     Feedback Reception: Has the capacity to receive feedback constructively and apply it to improve performance continuously. This involves being open to suggestions, reflecting on feedback received, and making adjustments to enhance work quality. •     Timeline Management: Can understand timelines and deadlines to ensure proactive communication with internal parties. This includes tracking deadlines effectively, notifying stakeholders of progress, and ensuring that everyone involved is informed of relevant timelines. Problem Solving •     Resource Utilization: Has the ability to build knowledge of internal resources to answer questions and solve problems independently. QUALIFICATIONS: •    Bachelor's Degree •    Minimum of 2 years of experience. •    Strong attention to detail with a focus on accuracy in timecard entry and auditing. •    Excellent communication skills, both written and verbal, to effectively coordinate with internal teams and external partners. •    Proficiency with payroll software and systems, such as ADP or Kronos. •    Ability to learn key internal/external systems used- e.g., Nova, Data Hub, VMS platforms (if applicable) •    Demonstrates working knowledge of Microsoft Excel, SharePoint, Teams, and Outlook for daily administrative and communication tasks. •    Familiarity with common Excel functions such as sorting, filtering, and reviewing large datasets is strongly preferred •    Solid understanding of payroll and billing processes; prior experience is a plus. •    Ability to manage time effectively and meet deadlines. •    Proficiency in using internal systems for data entry, auditing, and communication. •    Amenable to work night shifting, shifting and rotating schedule.
