WHAT'S THE JOB?
Reporting directly to the Director of Projects, the Project Coordinator will provide overall administrative support for several small projects and/or support a large project or two and successfully take ownership on overall project performance including costs, schedule, quality and project status. The incumbent will help coordinate operations within the project team, while maintaining relationships with sub-trades and clients. The position involves subcontractor negotiations, liaising with owners, engineers, and sub-trades as well as management of technical and financial aspects of contract. The incumbent is responsible for ensuring that the project is completed safely, on schedule, within budget, and in compliance with the Contract, Company Policies and Procedures, and legislation and labour requirements.
Maintaining relationships with all external and internal project stakeholders through effective communication practices; Acting as main interface between Company and Customer, on all project matters; Coordinating tasks with the project team, ensuring tasks are completed on time; Developing and monitoring the project schedule and budget; Establishing construction plans and engineering methods; Coordinating and ensuring compliance of all applicable Quality Control/Quality Assurance requirements; Responsible for implementing and monitoring of Dexterra’s safety policies and procedures at the project location both from office and site based locations; Ensuring that all company policies and procedures are being followed for the duration of the project; Ensuring all scope and contract extras are approved by the customer; Handling all change orders, including negotiating, processing and assessing cost and schedule impacts; Identifying project risks, problems and issues as early as possible; ensuring mitigating actions are in place to minimize impact; Supervising, mentoring, coaching and training project personnel; Effectively communicate project expectations to team members and stakeholders in a timely, professional manner and on an ongoing basis; Ensuring project profitability; Providing performance status reports regarding cost forecasts, schedule and safety; Implementing initiatives to improve project processes, to achieve net improvements for key performance indicators; Understanding and enforcing contractual responsibilities, contract documents and resolving disputes; Negotiating issues of subcontracts and major purchase orders; Preparing/verifying progress billings to owner and from subcontractors, and monitoring progress; Involved in all facets of project close-out; Liaising with authorities and regulatory agencies; Developing and ensuring compliance with quality control plan; Preparing and delivering presentations to the client as required; and Other duties as required. Role is suited to an early-career Project Manager hopeful: start with defined scopes (RFIs/submittals, two-week look-aheads, meeting minutes) and progress to cost control, change management, and client updates as performance warrants. Manage discrete work packages to schedule and budget; expand to leading small projects or phases once internal standards are met. Work under the direction of a PM and/or Director for assigned scopes; take on increasing responsibility based on results and business needs.
WHO ARE WE LOOKING FOR?
Educational and experience requirements include a construction related degree or equivalent combinations of technical training and/or related experience; Prior experience with Modular construction (including infrastructure) considered an asset; A minimum of 3 years’ construction management experience in Industrial, Single and Multi-family Residential, or Commercial construction; Proven experience managing small to medium projects; Experience working with various levels of government; Contract law knowledge and contract management experience; Computer proficiency – Microsoft Office - Work, Excel, PowerPoint, MS Project. 1–3 years in construction delivery (APM/Project Coordinator/Estimator/Scheduler) with hands-on RFIs, submittals, basic scheduling, and change-order support; ready to step into a PM I role. Proven task ownership with measurable outputs (maintained logs, issued look-aheads, tracked costs) and readiness to handle client touchpoints with oversight. Proficiency with core PM tools (MS Project/Primavera, Excel incl. XLOOKUP/pivots); experience with a PM platform (e.g., Procore/SharePoint) is an asset.
