This role requires exceptional judgment, flexibility, emotional intelligence, and the ability to operate in a fast-paced, high-expectation environment with absolute confidentiality. The ideal candidate is detail-oriented, resourceful, calm under pressure, and experienced managing complex schedules, travel, communications, and lifestyle logistics. Key Responsibilities Executive Support Manage complex calendars, scheduling, and meeting coordination across multiple time zones Prioritize and respond to communications on behalf of the CEO when appropriate Coordinate business appointments, conferences, and executive events Prepare agendas, briefing materials, expense reports, and follow-up items Serve as gatekeeper and liaison with executives, investors, advisors, and external partners Personal & Lifestyle Management Coordinate personal appointments, reservations, and household schedules Oversee luxury travel arrangements including flights, hotels, ground transportation, visas, and itineraries Manage gifting, special events, and personal logistics Handle personal shopping, sourcing, and vendor coordination Support relocation, property oversight, and residence management as needed Administrative Operations Maintain confidential files, records, and sensitive information Own the management and operations of business office; coordinating with cleaning company, stocking and ordering supplies Process invoices, reimbursements, and basic bookkeeping support Conduct research and prepare summaries or recommendations Create systems and workflows to improve organization and efficiency Assist with special projects and ad hoc requests with urgency and professionalism Qualifications 5+ years of experience supporting a CEO, founder, or UHNW individual
