Description

Environmental Administrative Assistant The Ontario First Nations Technical Services Corporation (OFNTSC) is a nonprofit organization that provides technical advisory services, training, and capacity development to First Nations communities in Ontario.  By offering a wide range of specialized services and expertise, OFNTSC helps to enhance the quality of life, promote self-sufficiency, and foster economic growth within these communities. We are seeking a highly motivated and skilled Environmental Administrative Assistant to join our team at OFNTSC.  Supervised by the Manager of Environmental Services, the Environmental Administrative Assistant will play a crucial role in organizing and scheduling meetings, coordinating training workshops, attending them, and gathering environment-related information. This position requires experience in environmental science, previous administrative work, and the ability to work with competing deadlines. These tasks must be executed in alignment with the culture and values of OFNTSC while maintaining strict confidentiality. Responsibilities: Plan, coordinate, and support training sessions, meetings, workshops, and events for the Environment Department, including logistics, participant communications, advertising, and travel arrangements. Review departmental budgets and complete monthly Visa reconciliations for the Director. Conduct research and compile data into reports, tables, and visual summaries for information sharing and decision-making. Draft, edit, and distribute internal communications, including memos, meeting summaries, correspondence, reports, and presentations. Attend and provide on-site administrative support for workshops and training sessions, as required. Collect, organize, and analyze metrics to evaluate the effectiveness of workshops and training activities. Assist in the development of education and promotional materials (e.g., posters and informational resources) on environmental topics such as solid waste management, contaminated sites, climate change, and source water protection. Prepare documents and maintain organized electronic filing systems for departmental staff. Review and process participant travel claims in accordance with applicable policies. Provide general administrative support related to the functions and objectives of the Environment Department. Qualifications: Completion of post-secondary in environmental science/studies or a related field is an asset. 1 year of experience in an administrative or office support role. Previous experience working in or with First Nations communities. Proficiency with Microsoft Office Suite and Google Suite. Strong interpersonal, written, and verbal communication skills, with the ability to work effectively in a team-based environment. Highly organized and detail-oriented, with the ability to manage multiple tasks, maintain accurate records, and handle confidential information appropriately. Demonstrated ability to take initiative, exercise sound judgment, and work effectively under pressure to meet deadlines. Conditions: Reliable and insured vehicle, and a valid class G Ontario driver’s license.
