Description
Community & Cohort Support Virtual Assistant (Ongoing Role) Client Overview An inclusive leadership consultant, facilitator, speaker, and moderator working across leadership development, psychological safety, facilitation, and transformational group experiences. Her work focuses on helping leaders and teams navigate high-stakes conversations, inclusion, trust, coordination, and decision-making under pressure. She is launching a premium cohort-based leadership and transformational program beginning September 2026, designed for a global audience. The program combines facilitation, community engagement, embodiment practices, workshops, and leadership development experiences. The Virtual Assistant will play a critical role in supporting the behind-the-scenes operations, participant experience, facilitator coordination, community engagement, and ongoing communications before, during, and after the cohort launch. This is intended to be an ongoing role with long-term growth potential as the business scales. Work Schedule Minimum: 10 hours per week Potential to scale depending on business growth and cohort launches Preferred: VA who can accommodate GMT / London time overlap Flexible arrangements may be considered after onboarding and workflow stabilization Core Responsibilities Cohort Launch & Operations Support Coordinate onboarding workflows for cohort participants Manage participant intake forms and questionnaires Schedule and coordinate 1:1 pre-program calls with participants Organize calendars and meetings for guest speakers and facilitators Prepare and distribute meeting notes, briefing documents, and speaker questions Support logistics for workshops, retreats, and virtual cohort sessions Ensure smooth operational flow before and during launches Community Management & Participant Engagement Help maintain engagement inside the cohort community platform Create and schedule engagement prompts between sessions Encourage participant interaction and continuity throughout the program Monitor community discussions and participant inquiries Escalate urgent participant concerns when necessary Support psychologically safe and inclusive communication practices Live Session Support Attend virtual Zoom sessions as operational support Manage breakout rooms and session flow Assist with slides, materials, and technical coordination during live sessions Provide backend support so the facilitator can focus on delivery Help ensure smooth participant experience during workshops and cohort calls Communications & Follow-Up Prepare and send follow-up emails and resources after sessions Assist with newsletters and ongoing community communications Support automation and scheduling of participant communications Help maintain long-term engagement with alumni/community members Share updates, insights, prompts, and cohort-related materials Administrative & CRM Support Organize participant and lead information Assist with basic CRM management and contact tracking Help build lightweight systems and onboarding workflows Maintain organized documentation and task tracking Recommend and help implement user-friendly tools and systems Light Outreach & Email Support Assist with sending outreach emails and follow-ups Help organize lead lists and communication tracking Support visibility and relationship-building efforts No sales pitching required — client handles sales conversations directly Preferred Skills & Experience Required Skills Strong English communication skills (written and verbal) Exceptional organizational and coordination skills Experience supporting online programs, communities, events, or cohorts Proficiency with Zoom, Google Workspace, and communication platforms Strong attention to detail and proactive follow-through Comfortable managing multiple moving parts simultaneously Ability to work independently and provide operational structure Highly Preferred Experience supporting coaches, facilitators, consultants, or transformational programs Background in community management or online learning environments Familiarity with inclusive leadership, accessibility, wellbeing, or psychologically safe spaces Understanding of neurodiversity-aware communication (ADHD, autism, accessibility considerations) Experience supporting virtual events and workshops French-speaking ability is a strong advantage but not required Personality & Work Style Preferences The ideal VA is: Emotionally intelligent and people-centered Calm, organized, and proactive under pressure Comfortable working in sensitive or transformational environments Inclusive, thoughtful, and accessibility-aware Collaborative and solutions-oriented Adaptable as systems and processes evolve Interested in long-term growth alongside the business Tools & Platforms Current/Preferred Tools: Google Workspace Zoom WhatsApp (primary communication preference) CRM/platform recommendations are welcome Potential Community Platforms: WhatsApp Communities Skool Other community management platforms (open to VA recommendations) Additional Notes This is a long-term role with potential expansion as multiple cohorts launch throughout the year. The client values initiative and welcomes recommendations for tools, systems, and workflow improvements. The VA may evolve into a broader operational support role as the business scales. Experience in transformational, leadership, inclusion, wellbeing, or facilitation-based environments is highly valued.
