Purpose: Jesuit education, also known as Ignatian education, is an approach to education inspired by the teachings and principles of St. Ignatius of Loyola, the founder of the Society of Jesus (Jesuits), a Catholic religious order. Jesuit education is known for its emphasis on intellectual rigor, moral and ethical development, and the holistic formation of individuals. Jesuit education is not limited to Catholic students, and our own and many more Jesuit institutions welcome students of various religious backgrounds. The principles of Jesuit education have been influential in the development of a well-rounded, values-based approach to education that extends beyond the classroom and into the broader community. The Counseling Assistant provides administrative, operational, and student-facing support for the school’s counseling and college counseling programs. This position serves as a key point of contact for students, families, faculty, college representatives, and outside organizations, while helping manage college application processes, student records, events, communications, and office operations.  This is a full-time position that works 10.5 months per year and is off in the summers. Essential Functions: Support the administration of the college application process, including transcript processing, application tracking, recommendations, reports, and related documentation. Coordinate communications with students, families, faculty, college representatives, and outside organizations regarding college planning, scholarships, testing, and counseling-related activities. Assist students applying to colleges, universities, specialized programs, and other post-secondary opportunities. Coordinate college representative visits and campus presentations, including scheduling, logistics, communication, and student sign-ups. Maintain and update counseling records, databases, reports, publications, and statistical information related to student outcomes and college matriculation. Provide front-office support for the counseling department, including greeting visitors, responding to inquiries, scheduling appointments, and assisting students with a wide variety of needs. Support counselors and administrators with confidential student matters while maintaining professionalism and discretion. Coordinate department meetings, events, presentations, and use of shared spaces and calendars. Assist with standardized testing administration, including student registration, proctor coordination, materials preparation, room assignments, and communication with stakeholders. Prepare reports, correspondence, and publications for internal and external audiences. Collaborate with other school departments to support student services, admissions processes, and school-wide events. Maintain organized files and records in accordance with school procedures and confidentiality standards. Provide administrative support during peak operational periods, including admissions and enrollment activities. Marginal Functions Assist with special projects and department initiatives as assigned. Support evening or occasional weekend events related to counseling, admissions, or student programming. Participate in staff meetings, training opportunities, and school community events. Perform other duties as assigned. Qualifications Minimum Qualifications: High school diploma or equivalent and two or more years of administrative, office coordination, or customer service experience, preferably in an educational environment. Or a combination of education and experience sufficient to perform the essential functions of the job. All candidates must demonstrate a commitment to Prep’s mission and values, especially as it relates to diversity, equity, inclusion, and belonging. Supportive of the mission of a Catholic, Jesuit high school and formation of the whole person. Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously. Excellent written and verbal communication skills. Demonstrated ability to work effectively with students, families, faculty, and external partners. Proficiency with Microsoft Office Suite, databases, and office technology. Ability to maintain confidentiality and exercise sound judgment in sensitive situations. Strong attention to detail and commitment to accuracy. Preferred Qualifications: Experience working in a high school counseling, college counseling, admissions, or student services office. Familiarity with college application platforms, student information systems, or database management tools. Experience coordinating events, meetings, or testing logistics. Knowledge of college admissions processes, standardized testing, and post-secondary planning. Ability to work independently while also contributing positively to a collaborative team culture.  All employees must complete a criminal history background check and safe environment training upon hire and every 3 years Compensation & Benefits: Salary Range: $58,000 - $63,000 annually. Salary is determined based on skills and qualifications. Our outstanding benefits package includes an allowance of $20,100 annually (pro-rated for part-time employment) that may be applied to benefits including medical, dental, vision, life, disability insurance and flexible spending account. Employees who do not elect insurance may choose to receive the benefits allowance as supplemental pay. Our 403b program includes up to a 7.5% employer contribution when employee match considerations are met. Tuition remission, generous time off, sick leave, and a school sponsored medical leave program are also significant parts of our benefits package.
