Basic Purpose The University Registrar is responsible for modernizing and managing the institution’s academic records, related systems, and student experience. This role drives the strategic use of technology and process innovation to improve accuracy, efficiency, academic advising, and student success. The Registrar ensures the integrity of academic records while championing user-centered, technology-enhanced services that support students from enrollment through graduation. Core Values and Competencies Commitment to accuracy, integrity, and service excellence Ability to interpret and apply policy consistently Ability to lead change and build cross‑functional partnerships Technological fluency and systems thinking Strong analytical and problem‑solving skills Key Responsibilities Strategic Leadership and Service Innovation Develop and implement strategies that enhance service delivery, streamline processes, and support institutional goals Lead the digital transformation of registrar operations, emphasizing a student-first mindset, and leverage technology to reduce friction, improve transparency, and create seamless user experience Collaborate with senior leadership on enrollment planning, academic policy, course and degree planning, and student success initiatives Evaluate emerging technologies (e.g., degree‑planning tools, AI‑assisted advising, workflow automation) and guide adoption to improve service delivery Implement self‑service tools that empower students and faculty to manage registration, degree audits, transcripts, and graduation requirements Student Information System and Data Governance Serve as the functional lead for the student information system (Jenzabar), leading continuous improvement to ensure optimal configuration, data integrity, and system reliability Work with IT and IR to develop dashboards and analytics that provide real‑time insights into enrollment trends, course demand, and academic progress Work with IT and IR to develop data governance practices and data standards related to academic data Maintain digital curriculum and catalog systems, ensuring alignment between academic programs, SIS configuration, and degree audit tools Academic Policy, Records, Compliance, and Reporting Serve on the Academic Leadership Team and Academic Affairs Committee to advise and implement academic policy and initiatives Ensure the accuracy, security, and confidentiality of academic records in compliance with FERPA and other regulations Oversee transcript production, degree audits, grade processing, academic standings, and maintenance of official academic records Interpret and enforce academic policies, working closely with Academic Affairs and governance bodies Provide data and reporting to support accreditation, institutional research, and regulatory compliance Enrollment Services and Catalog Management Manage all registration processes, including course scheduling, add/drop, withdrawals, and waitlists Manage course and degree planning to ensure efficient use of space, faculty resources, and appropriate time to degree Oversee degree audit processes, graduation applications, and conferral of degrees Ensure timely and accurate production of diplomas and verification of academic credentials Oversee the academic calendar, ensuring alignment with institutional needs and regulatory requirements Maintain the university catalog, ensuring accurate representation of academic programs, policies, and requirements Provide guidance to students and faculty on registration, academic standing, and degree requirements Support commencement planning and execution Operational Leadership and Collaboration Supervise and develop a team skilled in data management, technology adoption, and student‑centered service Build strong partnerships with academic departments, advising, IT, and student services to ensure cohesive systems and data-informed decision-making Represent the university in state, regional, and national registrar associations Chair and serve on appropriate committees Manage Registrar budget Education, Specialized and/or Technical Knowledge Requirements Graduate degree in higher education, administration, or related field Experience in registrar operations, enrollment services, or academic systems administration Strong knowledge of FERPA, academic policy, and higher‑education compliance requirements Experience with student information systems and related technologies Physical Job Requirements Tools and Equipment Used Personal computer, copier, phone and other typical office equipment Travel Minimal – less than 5% of the time Physical & Mental Demands Frequently required to sit at/in a desk/vehicle for long period of time Ability to work at a computer terminal for extended periods of time Digital dexterity and hand/eye coordination in operation of all assigned equipment Ability to speak to and hear employees/students via phone or in person Body motor skills sufficient to enable incumbent to move around all areas of the campus Ability to analyze data and other reports and make recommendations Mental requirements include: compare, decide, direct, problem solve, analyze, instruct, interpret
