Under general supervision, the Medical Assistant II Lead performs a variety of routine administrative, clerical and technical supportive services to assist medical and nursing staff in the examination and treatment of patients.
The Medical Assistant II Lead functions as both a Clinic Assistant and a Medical Assistant for a designated practice. Works under the clinical supervision of a licensed physician or as delegated by the physician for patient care activities, and under the general direction of the designated manager.

The MA Assistant II Lead serves as the team leader, assists the Practice Manager in monitoring daily duties, patient flow, assisting with projects, train new staff and provide orientation of Medical and Clinical Assistants including providing feedback/guidance to staff. This position requires oversight from management and ongoing communication/guidance on a regular basis.
MA Assistant II Lead key responsibilities include:
• Prepares Medical Assistant/Clinical Assistant schedules and coordinate time off requests with oversight and direction from manager.
• Evaluate and direct patient flow in clinic to ensure efficiency.
• Trains and orients new employees, provides and assigns coverage as needed.
• Provides coaching to staff as needed with oversight from manager. Serves as liaison and representative to the staff for day-to-day issues.
• Handles escalated and non-routine patient concerns appropriately.
• Works collaboratively with clinic leadership to ensure that clinic requirements are followed and that policies and procedures are in accordance. Immediately alerts manager of policy violations.
• Report to manager about ongoing operational needs of the clinic, training needs of employees, including patient concerns and other clinic-related issues.
• Maintain current knowledge and answer questions of other employees on procedures, policies, and obtain needed information or decisions from manager.
• Keep in touch with the status and progress of daily work, and make day- to- day adjustments in accordance with established priorities, obtaining assistance and with oversight from the manager as needed.
• Function as a Subject Matter Expert (SME) for all front and back office duties
• Performs other duties and projects as assigned.
• Expected to function as an Epic Super User.
ADMINISTRATIVE DUTIES:
• Answers multi-line phone, screens and routes calls, takes messages for clinic staff and physicians.
• Schedules and edits patient physician appointments for new and returning patients.
• Schedules consultations with other clinics or physicians as needed.
• Greets patients and request that patients and visitors be seated in the waiting room and communicate unexpected delays as needed.
• Collects patient demographic and insurance data.
• Determines and documents need for signatures for conditions of registration.
• Identifies and obtains services requiring authorization and/or referrals and appropriate process for the payer type.
• Informs new and returning patients of authorization and payment.
• Collects and posts co-pays.
• Obtains required signatures.
• Maintains records in accordance with guidelines.
• Files and retrieves electronic medical records.
• Prints and uses scheduling reports.
• Retrieves and prepares patients charts.
CLINICAL DUTIES
• Prepares the necessary equipment and supplies for exam. Maintains inventory of supplies in examination rooms, replenishes as required. Maintains clean and orderly exam rooms, hallways and work areas.
• Escorts patient to exam room; measures and records vital signs.
• Prepares patient for examination or treatment and performs routine screening tests. Explains treatment procedures to patients.
• Reports patient’s concerns and symptoms, reactions, changes (appropriate to age) to licensed clinic personnel. Documents clinical information, including patient phone calls and maintains accurate and complete patient documentation according to medical profession standards.
• Assists physicians with procedure set-ups, patient procedures and examinations. Administers medication by intradermal, subcutaneous, or intramuscular injections, performs skin tests, venipunctures and other technical supportive services upon the specific authorization and supervision of a licensed physician or nurse.
• Collects and sends specimens to appropriate labs for testing per protocol.
• Processes requests for prescription refills according to established practice.
• Other duties as assigned.
Minimum Qualifications
Education : High School diploma or equivalent. Completion of all requirements in a recognized Medical Assistant training program.
Experience : Three (3) years of directly related work experience.
Licensure/Certification : Current Cardiopulmonary Resuscitation (CPR) certification.
Must obtain certification from an accredited Medical Assistant Program from one of the following - Within one (1) year of placement in MA II Lead position: California Certifying Board of Medical Assistants (CCBMA), American Association of Medical Assistants (AAMA), American Medical Certification Association (AMCA), National Healthcare Association (NHA), or American Medical Technologists Certification (AMT)
Knowledge, Skills, and Abilities
• Knowledge of medical terminology.
• Knowledge of inventory management practices.
• Knowledge of computer systems and software used in functional area
• Ability to educate patients and/or families as to the nature of disease and to provide instruction on proper care and treatment according to physician protocols, guidelines or instructions.
• Ability to perform standard clinical procedures according to established protocols.
• Ability to communicate clearly orally and in writing.
• Ability to follow oral and written instructions.
• Ability to deal with diverse patient/family interactions and demonstrate customer service skills in interactions with all patients, families and staff, including high volume and stressful situations
• Ability to solve problems and identify solutions
• Ability to plan, organize, prioritize, work independently and meet deadlines
• Ability to prioritize multiple tasks and handle a high volume of interactions (phones, patients, etc.)
• Ability to field phone calls and answer questions.
• Ability to multi-task and to change priorities regularly.
• Ability to adjust communications to fit the needs and level of understanding of the receiver.
• Ability to exercise calmness in fast paced and high-volume environment.

Pay Range
Compensation is based on the level and requirements of the role.
Salary within our ranges may also be determined by your education, experience, knowledge, skills, location, and abilities, as required by the role, as well as internal equity and alignment with market data.
Typically, new team members join at the minimum to mid salary range.
Minimum to Midpoint Range (Hourly): $29.18 to $35.01

Completion of all requirements in a recognized Medical Assistant training program.</p><p><strong>Experience</strong>: Three (3) years of directly related work experience.</p><p><strong>Licensure/Certification</strong>: Current Cardiopulmonary Resuscitation (CPR) certification.</p><p>Must obtain certification from an accredited Medical Assistant Program from one of the following - Within one (1) year of placement in MA II Lead position: California Certifying Board of Medical Assistants (CCBMA), American Association of Medical Assistants (AAMA), American Medical Certification Association (AMCA), National Healthcare Association (NHA), or American Medical Technologists Certification (AMT)<br>\n </p><p><strong>Knowledge, Skills, and Abilities</strong></p><p>• Knowledge of medical terminology.</p><p>• Knowledge of inventory management practices.</p><p>• Knowledge of computer systems and software used in functional area</p><p>• Ability to educate patients and/or families as to the nature of disease and to provide instruction on proper care and treatment according to physician protocols, guidelines or instructions.</p><p>• Ability to perform standard clinical procedures according to established protocols.</p><p>• Ability to communicate clearly orally and in writing.</p><p>• Ability to follow oral and written instructions.</p><p>• Ability to deal with diverse patient/family interactions and demonstrate customer service skills in interactions with all patients, families and staff, including high volume and stressful situations</p><p>• Ability to solve problems and identify solutions</p><p>• Ability to plan, organize, prioritize, work independently and meet deadlines</p><p>• Ability to prioritize multiple tasks and handle a high volume of interactions (phones, patients, etc.)</p><p>• Ability to field phone calls and answer questions.</p><p>• Ability to multi-task and to change priorities regularly.</p><p>• Ability to adjust communications to fit the needs and level of understanding of the receiver.</p><p>• Ability to exercise calmness in fast paced and high-volume environment.<br>\n </p><p><strong>Physical Requirements and Working Conditions</strong></p><p>The Physical Requirements and Working Conditions in which the job is typically performed are available from the Human Resources department.
