Job Description
Salary Range: $45.62 - $54.30
Full-time contract expected to end March 2027
The Facilities Planning Coordinator will be responsible for the development of facilities “capital projects” within the Facilities Management department. Working closely with the Manager of Facilities and Construction Project Manager, this role will support critical planning efforts in the programming, planning, design and development of documentation of both small and larger scale capital & operational projects. In addition, the Facilities Planning Coordinator will:
Monitor project parameters and play an active role in the implementation, final move and commissioning of the space by the intended users.
Assist in the review of capital project, space, and move requests; ensuring these projects are documented and marshalled through the appropriate review and approval process.
Provide ongoing maintenance of CMH’s facilities space database(s) of information and facilities records (CAD drawings; fire safety plans, specifications; signage systems; Computerized Maintenance Management System (CMMS); furniture, furnishings and equipment; etc.).
Develop move requirements for completed projects, whether large-scale construction projects or the reallocation of space, i.e. office moves, etc.
Assist in the development of procurement, project purchase orders, RFPs and other procurement related processes in support of Planning, Capital Projects and Facilities/Maintenance;
Developing project schedules, coordinating the implementation stages of projects from conception to tender stage, ensuring project communications are aligned with the project’s development schedule in order to ensure the successful completion of the projects.
Undertakes the development of meeting agendas, minutes and makes sure all assigned people execute the actions agreed upon during the meetings and ensures appropriate follow up with the stakeholders.
Create move related templates, floorplans and other resources to support internal moves throughout the organization.
Create and update wayfinding and other signage as required.
Other facility support duties may be assigned.
Skills and Qualifications:
Minimum of 3+ years’ planning and / or project management experience is required.
University degree or college diploma in Architecture, Project Management, Construction Management or Facility Management is preferred.
Strong working knowledge of AutoCAD, MS Project, Word and Excel skills is required.
Experience in planning, coordinating and executing multiple client needs; office furniture changes, upgrading current workspaces, small scale construction projects and building maintenance management is preferred.
Excellent communication, time management, decision-making, multi-tasking, independent and collaborative team work skills are required, with a strong emphasis on attention to detail.
Strong understanding of how to prioritize multiple tasks in a fast-paced environment.
Ability to perform in a manner that is consistent with the mission, vision and values of the hospital.
Demonstrated ability to attend work onsite on a regular basis is required.
