Description

Overview Employment in this role is conditional upon successful execution of the contract by the client. The Work The Logging Coordinator will assist in supporting the client's full range of lodging support. This position aligns with Cayuse’s core values of Innovation, Excellence, Collaboration, Adaptability, and Integrity by fostering technical solutions that meet customer needs, promoting teamwork, and prioritizing quality in deliverables. Responsibilities Key Responsibilities Maintains FY course schedules for lodging purposes. Arranges lodging reservations for students and staff with contracted hotel facilities. Provides lodging confirmation information to students and course coordinators. Maintains lodging information on excel spreadsheet and updates accordingly. Quarterly analyzes spreadsheets to determine room nights per hotel. Notifies class coordinators, program managers, and COR of any student or hotel issues. Arranges shuttle service with hotels for students. Provides detailed lodging spreadsheets to program managers for invoice reconciliation. Provides procurement requests and/or funding documents to the budget unit for identified courses. When necessary, provides lodging briefing to students. Back-up the Travel Operations Specialist. Generate various reports related to lodging data. Updates the lodging standard operating procedures. Attend quarterly meetings with designated hotels. Ensures student records (lodging, travel and external training) are managed according to the records disposition schedule. Review suspense file and take appropriate action to correct discrepancies to ensure timely processing. Other duties as assigned. Qualifications Qualifications – Here’s What You Need The qualifications and skills listed below are intended to provide a general overview of the requirements for this position. However, due to the anticipated nature of the contract and the absence of a finalized task order from the client, this list should not be considered all-encompassing. Additional qualifications, certifications, skills, or experience specific to the client’s requirements may be identified and requested upon award of the task order. Candidates should demonstrate flexibility and a willingness to adapt to evolving responsibilities as outlined by the client. Must possess a high school diploma, associate’s degree preferred, together with three years (3) of customer service and administrative experience. Must possess basic knowledge of and experience with office and administrative functions, practices and procedures. Knowledge of basic accounting skills is helpful. Experience in providing travel support or event planning services is preferred. Secret Clearance is required. Due to the nature of work at the client’s site, U.S. Citizenship is required. Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment. Minimum Skills: Must be highly organized with attention to detail. Must possess excellent command of the English language. Thorough knowledge of Microsoft applications (MS Word, Excel) Strong oral and written communication skills required Ability to handle multiple tasks simultaneously Must be self-motivated and able to work well independently as well as on a multi-functional team.
