Summer Communications and Citizen Engagement Administrative Assistant
Location: 11738 Kingsway Avenue NW Edmonton, Alberta
Closing Date: Until Suitable Candidate Found
Position Status: Full Time (40 hrs per week), Temporary (May-August)
The Otipemisiwak Métis Government is recruiting for a full-time, temporary Summer Communications and Citizen Engagement Administrative Assistant (Summer Administrative Assistant). This is a summer term position with an end date August 28, 2026. Reporting to the Acting Senior Manager of Communications and Citizen Engagement, and working closely with the Events Manager, the Summer Administrative Assistant will be responsible for supporting the Communications and Citizen Engagement department with general administrative duties, providing polite and professional assistance via phone, mail, and email, providing a helpful, positive presence in the workplace. The successful candidate will have excellent communication skills and will be required to both take direction and work intuitively to support the completion of the Otipemisiwak Métis Government’s goals and objectives in a professionally and culturally appropriate manner.
Key Responsibilities
Provide general day-to-day administrative support to the Communications and Citizen Engagement department, including responding to inquiries, ordering supplies, maintaining filing systems, and scheduling meetings.
Prepare meeting agendas, take meeting minutes, and draft other professional documents for meetings as needed.
Assist with departmental team travel, including making hotel reservations and transportation bookings.
Assist with building event binders, filing contracts, and other event documentation.
Support events by tracking inventory, obtaining quotes for services, organizing site visits, assisting with filing invoices, and acting as a point of contact for event-related inquiries.
Support departmental initiatives and events through procurement of materials and supplies for programming, office, and event use.
Assist with scheduling departmental meetings, including boardroom bookings, arranging catering, and setting up for meetings.
Maintain accurate and up-to-date records including classifying and coding files.
Respond to email or telephone correspondence in a timely and professional manner.
Complete administrative tasks in a timely manner.
File paperwork and correspondence in an organized and accurate manner.
Develop and maintain positive working relationships with both internal and external stakeholders, including management, employees, business and community partners, and the Métis community.
Present a positive and professional image of the organization when interacting with employees, citizens, visitors, and other external stakeholders.
Maintain a high level of cultural sensitivity, professionalism, and confidentiality in all interactions and when handling sensitive documents.
Other duties as required or assigned.
Skills & Competencies
We are looking for a motivated, confident individual who is passionate about Indigenous issues, event support, and administration. Commitment to teamwork and collaboration with colleagues is required. Other skills/competencies include:
Proficient in Microsoft Suite, Google Workspace, and other applications/software.
Strong written and verbal communication skills, including professional email etiquette.
Excellent interpersonal skills, with the ability to build positive relationships.
Strong planning and organizational skills, with an ability to prioritize daily tasks and long-term objectives.
Ability to work independently as well as part of a team, and willingness to learn new skills.
Flexible and adaptable, with an ability to switch between multiple priorities and work in a fast-paced environment.
Political and cultural sensitivity.
Knowledge of Métis history, culture, and issues affecting Métis people. An in-depth understanding of the Otipemisiwak Métis Government and Métis culture, people, and values is an asset.
Qualifications
Post-secondary education in Administration is preferred. Other relevant training and experience will be considered.
Experience in a similar administrative or reception role is an asset.
Other Requirements
Availability to work in-office in Edmonton, AB, Monday to Friday, 8:30 am – 4:30 pm.
Ability to work occasional evenings and weekends, with notice.
Ability to travel throughout Alberta.
Reliable transportation.
