Description

Summary: Reporting to the Director of Principal and Major Gifts and the Director of The Lawrenceville Fund, the coordinator supports the team in managing all fundraising initiatives for alumni, parents, and other constituents. Principal duties include: providing administrative support for the major gifts team, managing administrative aspects of an annual giving operation that consists of unrestricted giving, volunteer management, leadership annual giving, and reunion giving; promoting productive relationships with colleagues and volunteers; supporting print, mail and email fundraising campaigns; and assisting in the completion of all tasks assigned to Major Gifts Team and The Lawrenceville Fund/The Lawrenceville Parents Fund Team (TLF and TLPF). Essential Duties & Responsibilities: Supports The Lawrenceville Fund (TLF) and Major Gifts (MG) teams. Responsibilities include: Producing data requests as assigned, generating reports from Raiser’s Edge as well as processing reports and requests in Excel including Senior Staff and Trustee reports for leadership. Answers questions and phone calls from colleagues and volunteers. Maintains inventory of stationery and materials, and reorders as needed. Supports special projects as assigned, for example The Big Red Valentine TLPF appeal and office-wide phonathons and other special events. Budget Support: Oversees administrative aspects of assigned departmental budgets. Coordinates with the Finance department on budget approvals, budget codes, and ensuring vendor invoices are paid in a timely fashion. Prepares credit card reports for the department. Travel Support: Assists with travel planning for the MG team with a focus on complex international trips to include logistics, briefings, and post-trip follow up. Data & Reports Support: Maintains working knowledge of existing TLF, MG, and greater Alumni and Development departmental data processes and policies, ensuring they are followed across all giving projects. Prepares Trustee and other high-level solicitations. Enters contact reports, actions, correspondence, ask amounts into the database in a timely fashion. Maintains confidentiality. Volunteer Support: Supports the work of TLF volunteers in all classes including: Regular production of standard volunteer reports in Excel. Coordinates the process of Class Agent appeal letter approvals twice per year (fall and spring) as well as appeal follow-up emails, in conjunction with the spring letters. Organizes and maintains a digital volunteer signature database. Serves as the primary point of contact for an assigned cohort of class-based volunteers. Coordinates regular Zoom planning calls and or conference calls with assigned class volunteers. Coordinates the annual updating of TLF trophies and plaques. Mailings/Email Support: Serves as the point of contact for mailed and emailed correspondence including receiving donations. Coordinates in-house mailings (ad hoc and ongoing needs) Supports both teams with communication needs as requested, including seeking approvals, updating project management trackers, sourcing vendors/getting quotes Supports updates needed for platforms (e.g. Pentera) as directed by TLF/MG/PG Directors Provides TLF/PG/MG updates and needed information for communication and stewardship calendars and metrics (in partnership with Comms/Stew team) Non-Essential Duties and Responsibilities: Perform other duties as requested
