The Opportunity BluMetric Environmental Inc. is seeking a full-time Intermediate Bilingual Office Administrator (OA) to join our team. This role works closely with Office Administrators across multiple office locations to support seamless and efficient operations. The position includes a broad range of administrative responsibilities such as formatting, compiling, and printing reports; managing phone calls through our VOIP system; monitoring multiple Outlook inboxes; responding to inquiries; and coordinating events for the Ottawa office. This is an on-site role that offers the opportunity to contribute to a dynamic, collaborative, and high-performing work environment. The ideal candidate is detail-oriented, deadline-driven, proactive, and able to thrive in a fast-paced setting. This is an existing vacancy within the organization. Job Responsibilities: Support and help oversee daily office operations to ensure a smooth and efficient workflow. Format, compile, and assemble English and French reports and documentation from various offices in accordance with company standards. Provide administrative support to the Office Administrator (OA) team as a shared resource for staff across multiple office locations. Prepare and coordinate deliveries to meet time-sensitive deadlines. Manage multiple Outlook inboxes, ensuring timely responses and appropriate follow-up. Coordinate boardroom bookings and proactively resolve scheduling conflicts. Oversee vehicle permits and insurance documentation, ensuring compliance and timely renewals. Coordinate the ordering and pickup of lunches for company meetings and events. Assist with the preparation and maintenance of reporting templates for Project Managers. Act as the primary point of contact for building maintenance requests and issues. Manage and reconcile the local office MasterCard, ensuring accuracy and compliance with budgetary guidelines. Monitor and maintain office supply inventory, placing orders as required. Receive, screen, and direct incoming calls, emails, and visitors using the Telus Business Connect phone system. Distribute incoming and outgoing mail and coordinate courier services. Perform other duties related to the role as assigned. Qualifications and Requirements: Bilingual in English and French (verbal and written). Minimum of five (5) years of experience as an Administrative Assistant or in a similar role. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, SharePoint) and Adobe Acrobat Pro. Ability to travel occasionally to the Gatineau office. Demonstrated ability to work collaboratively as part of a team, contributing to a positive and productive work environment. Strong organizational skills with a high level of attention to detail and the ability to meet deadlines. Ability to manage multiple responsibilities simultaneously while maintaining accuracy and quality of work. Proven ability to prioritize tasks and manage time effectively in a fast-paced environment. Excellent verbal and written communication skills in both English and French. Maintains a professional image and demeanor when interacting with internal and external clients. Ability to work independently with minimal supervision while proactively identifying opportunities to improve processes and outcomes. Strong alignment with organizational policies and values, with a demonstrated commitment to excellence. Willingness to learn and adapt to new office software and technologies as required. Valid driver’s license and access to a reliable vehicle.
