Description

Overview Tthe Administrative Services Coordinator II (Food Service) is responsible for supporting the School Food Services Program within the Special Education department. The incumbent is responsible for developing and managing various systems to ensure the effective collection and reporting of food service program data. Key responsibilities include tracking student meal participation and reimbursement data, maintaining records of food and supply inventory, overseeing staff schedules and timekeeping information, and monitoring other essential operational metrics. This position employs tools such as the Meal Magic database, Excel, and other related databases to input information, generate, and analyze reports. The Administrative Services Coordinator II (Food Service) provides direct administrative support to the Food Services Manager and program leadership. The Coordinator is expected to maintain a high level of accuracy in all tasks and ensure strict confidentiality of student, financial, and personnel information encountered in the role. Responsibilities Coordinate and provide day-to-day direction to designated food service administrative and cashier/reception staff and manage the day-to-day front office and serving-area operations of the school Food Services Program, including assistance with greeting visitors, responding to phone calls and emails, and providing high quality customer service to students, families, and staff. Develop, implement, and maintain systems for collecting, tracking, and reporting School Nutrition Program data, including student meal counts, free/reduced-price eligibility status, a la carte sales, staff meal purchases, and other required Maryland State Department of Education (MSDE) and federal reporting elements. Oversee recordkeeping and administrative processes associated with applications for free and reduced-price meals, including obtaining required documentation, communicating with families, and ensuring that eligibility determinations are accurately reflected in the lunch program database. Provide direct administrative support to the Food Services Manager and Special Education administration with daily responsibilities to include: preparing correspondence, copying and distributing materials, maintaining shared calendars, and assisting in the coordination of staff meetings and trainings. Develop and manage systems for ordering and tracking food, paper goods, kitchen equipment, coffee and beverage supplies, and other items necessary for Food Services operations; coordinate with vendors; and verify deliveries and invoices. Coordinate the scheduling, documentation, and filing of food safety, Hazard Analysis Critical Control Point (HACCP), and MSDE compliance records for the Food Services Program, ensuring that all required logs, temperature records, and corrective action reports are complete and available for review. Assist in monitoring food service participation trends, revenue, and expenses by generating reports and sharing information with the Food Services Manager and program leadership for decision making. Monitor and oversee the logging and tracking of incident and occurrence reports related to Food Services (e.g., allergies, customer complaints, safety incidents) and ensure appropriate follow-up and communication with relevant staff and departments. In the temporary or occasional absence of the managers, assists with managing performance evaluations for Food Services staff. Communicate and track due dates for all initial and annual evaluations, maintain documentation, and process completed evaluations. Assist with monitoring staff attendance for Food Services employees by providing regular reports, supporting progressive discipline and incentive programs, and tracking FMLA and other leaves as needed. Coordinate the development, posting, and distribution of menus, nutrition information, and program notices to students, families, Local Education Agencies (LEA), and internal stakeholders, as required. Support the coordination of staff training related to food safety, customer service, and other required competencies by maintaining training records and documentation. Qualifications EDUCATION: High school diploma, GED or equivalent required Associate’s degree or equivalent preferred EXPERIENCE: Minimum three (3) years of related experience required Previous supervisory experience preferred Experience in school nutrition, food service operations, or a related setting preferred Minimum pay range USD $45,059.66/Yr. Maximum pay range USD $75,603.63/Yr.
