Summary Workforce Planning Manager The Workforce Planning Manager is responsible for leading a team of workforce planning administrators to ensure accurate, timely, and efficient workforce scheduling that supports operational execution across assigned markets. This role oversees daily workload distribution, staffing coordination, system accuracy, and the timely flow of scheduling data. The Manager plays a critical role in ensuring scheduling processes meet business requirements, service‑level expectations, and workforce readiness standards while championing the effective use of AI‑enabled scheduling tools to improve efficiency and decision quality. Job Will Remain Open Until Filled Responsibilities The Company is one of North America’s leading sales and marketing agencies specializing in outsourced sales, merchandising, category management, and marketing services to manufacturers, suppliers, and producers of food products and consumer packaged goods. The Company services a variety of trade channels including grocery, mass merchandise, specialty, convenience, drug, dollar, club, hardware, consumer electronics, and home centers. We bridge the gap between manufacturers and retailers, providing consumers access to the best products available in the marketplace today. Responsibilities Provide daily leadership, task direction, coaching, and performance management for workforce planning administrators while supporting hiring, onboarding, and development planning Lead scheduling operations by overseeing execution of all staffing and scheduling activities to ensure coverage aligns with business priorities, teammate availability, skill requirements, and client expectations Monitor scheduling outputs and operational needs in real time, resolving escalated discrepancies, conflicts, and resource gaps while tracking KPI adherence Utilize AI‑enabled scheduling tools to support forecasting, labor planning, and priority‑based staffing decisions while monitoring system outputs and reinforcing adoption through training and change management Review and analyze scheduling dashboards to validate data accuracy, track unstaffed locations, aging requests, and projected staffing gaps, and prepare summary reporting for leadership Partner cross‑functionally with operations, human resources, client services, and other stakeholders to communicate scheduling decisions, coverage concerns, and escalations Identify opportunities to improve scheduling workflows, staffing accuracy, and AI utilization while supporting development of standard operating procedures, documentation, and best practices Qualifications Education Requirements: Bachelor’s degree Experience Requirements: 4–6 years experience in relevant field Travel requirement: Less than 5% travel expected Supervisor Responsibility Direct Reports: Hires, retains, trains, coaches, guides, directs, and develops direct reports using company‑wide processes, tools and resources Indirect Reports: May delegate work of others and provide guidance, direction and mentoring to indirect reports Required Knowledge and Skills Strong organizational skills with ability to manage multiple concurrent deadlines and operational priorities Excellent communication and stakeholder management capabilities Proficiency with workforce scheduling tools, workforce systems, and office productivity software Experience supporting field‑based operations, retail events, or large‑scale workforce deployment Environmental & Physical Requirements Office / Sedentary Requirements: Incumbent must be able to perform the essential functions of the job. Work is performed primarily in an office environment. Typically, requires the ability to sit for extended periods of time (66%+ each day), ability to hear telephone, ability to enter data on a computer and may require the ability to lift up to 10lbs.
