Who we need Reporting to the Associate Director, Human Resources & Administration, we are hiring a Human Resources and Office Administration Coordinator for a 12-month contract. This is a highly administrative, coordination-focused role that sits at the centre of both HR operations and day-to-day office functioning. As the new Human Resources and Office Administration Coordinator, you will play a critical role in keeping things organized, responsive, and running smoothly. From maintaining accurate employee records and coordinating recruitment and onboarding activities, to supporting health and safety initiatives and managing office administration workflows, your work will directly enable the team to operate effectively. You will also coordinate scheduling for a small group of casual staff, provide reception coverage as needed, and act as a go-to resource for administrative and operational support across the organization. This existing vacancy is 100% onsite (35 hours/week) at our Euclid location, with occasional travel to other CDI sites across the GTA as required. What's in it for you Purpose and impact. You will work across teams, support multiple sites, and contribute to a range of priorities - from coordinating casual staff scheduling to supporting health and safety initiatives and office operations. You will gain visibility into how your work supports teams and operations across the organization. As our new Human Resources and Office Administration Coordinator, you will Own office coordination and administrative flow. You will manage the administration inbox, triage requests, assign ownership, and ensure timely follow-up. You will coordinate reception and administrative coverage, stepping in as needed to maintain seamless front-office operations. You will oversee records retention practices, ensuring secure storage, retrieval, and compliant destruction of files. You will partner with internal teams to coordinate onboarding and offboarding logistics, including workspace setup, access, and equipment readiness. Coordinate casual staff scheduling. You will manage the scheduling and availability of approximately seven casual staff members, ensuring shift coverage aligns with operational needs. You will act as a liaison between casual staff and HR leadership, supporting clear communication and day-to-day coordination. Support a safe, well-run workplace. You will assist in the implementation of Health, Safety and Wellness initiatives and actively contribute to committee participation. You will monitor and escalate safety or security concerns, ensuring issues are addressed promptly and appropriately. Support operational effectiveness across the organization. You will coordinate meetings, training sessions, and internal events, ensuring logistics are organized and execution is smooth. You will contribute to continuous improvement efforts by supporting research and best practices. You will take on ad hoc administrative and coordination tasks to support team priorities and ensure continuity during periods of change. Coordinate the day-to-day execution of HR operations. You will maintain accurate, audit-ready employee records across physical files and HRIS systems, ensuring data integrity and compliance. You will coordinate recruitment activities, including job postings, interview scheduling, and tracking. You will support onboarding and offboarding, prepare documentation, and assist with orientations to ensure smooth employee transitions. You will draft employment offers aligned with approved terms and support communication through the HR inbox, responding to routine inquiries and escalating as needed. Support core people processes and reporting. You will contribute to performance review cycles, including annual and probationary processes, and maintain supporting documentation. You will assist with policy updates and ensure records remain current. You will compile HR data and generate reports to support leadership visibility and decision-making, and provide flexible support across HR priorities as needed. What you bring The experience. You have experience in a people-facing, administrative, or office environment. You are a self-starter who can work independently with minimal supervision and take pride in supporting others, coordinating tasks, and ensuring administrative work is completed accurately and on time. You understand the importance of discretion in a Human Resources environment and handle sensitive information with care and confidentiality. Exposure to Human Resources, including general employment standards and occupational health and safety guidelines, is an asset. The technical and organizational skills. You are proficient with the MS Office suite, particularly Outlook and Excel. Familiarity with an HRIS (such as Dayforce or similar) is an asset. You are highly organized and detail-oriented, with the ability to manage competing priorities, stay on top of multiple tasks, and follow through in a fast-paced environment. You are comfortable problem-solving and adjusting as priorities shift. The communication and interpersonal skills. You communicate clearly and professionally, both verbally and in writing. You build positive working relationships across teams and approach interactions with tact, good judgement, and respect. You are comfortable responding to inquiries, coordinating across groups, and supporting a positive, well-run workplace. The flexibility. You are willing to work outside regular business hours on occasion to meet the needs of the organization. You can travel within the GTA to other CDI locations as required. Compensation: At Child Development Institute (CDI), we believe that compensation should be transparent, fair, and supportive of your experience and growth. For this role, the annualized salary is $55,000-$60,000 inclusive of 4% vacation pay.
