Description
Ferrovial Construction Canada Inc. and VINCI Construction Grands Projects are undertaking the design, build, and finance the Ontario Line Southern Civil, Stations, and Tunnel (South Civil) package.
As Ontario Transit Group, we are now mobilizing our design and construction crews, with major works. The South Civil contract is anticipated to be completed in 2030.
The project will strengthen Ontario’s economy by supporting an estimated 1,500 jobs at the peak of construction.
What is the project?
A six-kilometer tunnel and associated tunnelling works from Exhibition to Don Yard portal (west of the Don River). Stations: One above-ground station to be integrated with the existing GO Transit Exhibition Station. Two underground stations to be integrated with the existing TTC Osgoode and Queen subway stations. Four new underground stations (King/Bathurst, Queen/Spadina, Moss Park, Corktown).
The Subcontract Clerk plays a key role in supporting project operations by managing and maintaining accurate subcontractor documentation, ensuring compliance with contractual, insurance, and safety requirements, and facilitating effective communication between the project team and subcontractors. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced construction environment.
The salary range for this position is $60,000 CAD to $75,000 CAD, plus additional benefits.
Key Responsibilities:
Maintain and regularly update subcontractor files, ensuring all documentation including contracts, insurance certificates, and safety records is current, complete, and compliant with project requirements. Prepare, track, and distribute administrative reports related to subcontractor status, compliance, and performance in a timely and accurate manner. Serve as the primary administrative point of contact for subcontractor-related inquiries, providing clear and professional communication to both internal teams and external partners. Support the management and maintenance of subcontractor data within internal systems and databases, ensuring accuracy and consistency of information. Process and track subcontractor payments, verify invoices, and work collaboratively with internal stakeholders to resolve any discrepancies efficiently. Coordinate and communicate with subcontractors regarding project requirements, documentation updates, and administrative processes. Monitor and ensure subcontractor compliance with contractual obligations, safety standards, and regulatory requirements. Provide general administrative support to the project team as required, contributing to the smooth and efficient delivery of project operations.
A post-secondary degree or diploma in Business Administration, Accounting, Construction Management, or a related field is preferred. Equivalent experience in a similar role will also be considered. Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook, is essential, with the ability to manage data, generate reports, and maintain organized records. Strong data entry skills with a high level of accuracy and attention to detail are critical to ensure the integrity of subcontractor and financial information. Previous experience working with accounting systems, ERP platforms, or construction-related software is considered an asset. Attention to Detail: Demonstrates a high level of accuracy when managing contracts, documentation, and financial data, ensuring compliance and minimizing errors. Organizational Skills: Effectively manages multiple tasks, files, and deadlines, maintaining well-structured records in a fast-paced project environment. Communication: Possesses strong verbal and written communication skills, with the ability to interact professionally and collaboratively with subcontractors, vendors, and internal stakeholders. Time Management: Able to prioritize competing responsibilities, meet deadlines, and adapt to changing project needs with efficiency. Problem-Solving: Proactively identifies issues related to subcontractor documentation, payments, or compliance, and works to resolve them in a timely and effective manner.
