Description

Do you know what it takes to win a billing appeal — and how to make sure the firm gets paid what it earned? About Klinedinst PC Klinedinst PC is a multi-office litigation and insurance defense law firm with offices across California, the Pacific Northwest, and the Southwest. We represent insurers and their insureds in complex civil litigation, and our billing operations reflect that complexity — high volume, carrier-specific outside counsel guidelines, and multiple e-billing platforms. Our finance team is the engine that keeps the firm running, and this role sits at the heart of our revenue recovery effort. The Opportunity We’re looking for a Legal Billing Appeals Specialist to own the appeals workflow across our e-billing platforms. When carriers reduce or reject invoices, this person investigates why, builds the response, and submits the appeal — protecting the firm’s earned revenue on every matter. This is a detail-intensive, high-accountability role that requires someone who can read an outside counsel guideline, understand why a line item was cut, and write a persuasive, well-documented rebuttal. What You’ll Do Appeals & Revenue Recovery Review billing reductions and rejections across e-billing portals (e.g., Legal Tracker, Bottomline TyMetrix, Collaborati, Mitratech) and triage by root cause Research applicable outside counsel guidelines (OCGs) and matter billing instructions to identify grounds for appeal Draft and submit appeal responses with supporting documentation, narrative justification, and references to OCG provisions Track appeal status through resolution and escalate unresolved disputes to the Billing Manager or responsible attorney Maintain an appeals log with outcome tracking to identify patterns in carrier reductions and inform future billing practices E-Billing & Invoice Management Submit invoices through carrier e-billing platforms and resolve submission errors and rejections at the line-item level Coordinate with attorneys and legal assistants on time entry corrections, narrative adjustments, and write-offs required prior to resubmission Coordination & Communication Serve as the primary point of contact for carrier billing contacts regarding disputed invoice line items Communicate appeal outcomes to attorneys and billing leadership, including any permanent OCG restrictions that affect future billing Support month-end close by ensuring appealed invoices are accurately reflected in AR and flagged in the billing system (Aderant Expert) What We’re Looking For 2+ years of legal billing experience in a law firm environment, with direct exposure to e-billing portals and carrier OCGs Demonstrated experience preparing and submitting billing appeals or invoice dispute responses Strong written communication skills — you’ll be writing professional appeal narratives addressed to carrier billing analysts and outside counsel contacts Proficiency in Microsoft Word and Excel; comfort navigating multiple web-based e-billing platforms High attention to detail and the ability to manage a live appeals queue with competing deadlines Familiarity with insurance defense billing norms, carrier payment practices, and common OCG restrictions Nice to Have but Not Required Experience with Aderant Expert or similar legal billing systems (Juris, Elite, ProLaw) Exposure to Legal Tracker, TyMetrix 360, Collaborati, or Mitratech e-billing platforms Familiarity with ABA billing guidelines and litigation support billing codes (task-based billing) Billblast Experience What We Offer Medical, Dental & Vision  |  401(k) with discretionary match  |  Paid Time Off  |  Paid Holidays  |  Life & Disability Insurance  |  Employee Assistance Program Compensation The pay range for this position is $25.00 – $38.00 per hour, commensurate with experience and qualifications. Klinedinst PC complies with California’s pay transparency requirements. Pay ranges are provided in compliance with SB1162, California’s pay transparency law; actual pay may vary based on a variety of factors, including education, applicable experience, etc. Final compensation will be determined based on relevant experience, skills, and internal equity considerations. This position is eligible for the firm’s standard benefits package described above. Equal Opportunity Employer Klinedinst PC is an equal opportunity employer. All employment decisions are made without regard to race, color, religion, sex, national origin, age, disability, veteran or military status, genetic information, sexual orientation, gender identity or expression, marital status, or any other characteristic protected under applicable federal, state, or local law.
