Positions Report to: Director of Operations Start Date: July 2026 Hours: 8:00 am – 4:30 pm with some after hours responsibilities Compensation: $55,000 - $65,000 (EHTP also offers a comprehensive benefits package) FLSA Status : Non-exempt Who We Are East Harlem Scholars Academies are community-based Pre-K to 12 public charter schools operated by East Harlem Tutorial Program (EHTP). EHTP began in 1958 as a children's reading group and has since grown into a multi-site after-school program for traditional public school students and a network of public charter schools focused on significantly increasing the college graduation rate in East Harlem. At EHTP we also aim to serve as an agent of change and thoughtfully contribute to the national fight for racial equity. About the Opportunity We are looking for an Operations Associate to be responsible for smoothly running our reception desk and supporting our Director of Operations with facilities, technology, and compliance needs. As a member of Scholars Academies, you will work with the operations team to ensure that the main office is a warm, welcoming, and informative place for staff, families, and visitors. The Operations Associate will play a vital role in ensuring that the school’s non-instructional operations run smoothly and efficiently, and support all office functions by providing prompt, courteous, and thorough service to callers, visitors, and staff. A successful Operations Associate will troubleshoot technology issues (photocopiers, desk phones, postage machine), efficiently manage supply ordering and inventory systems for our school office and staff, and serve as a resource for all school staff. What Success Looks Like Own the Main Office/Greeting Area of the School Create and maintain a warm, welcoming, and professional environment for families, students, staff, and guests. Uphold and enforce safety systems and protocols for visitors, early pick-ups, and late arrivals to ensure a secure school community. Ensure important community information is readily available in the main office. Manage the flow of the main office—greeting and assisting visitors, answering calls, and directing inquiries to the appropriate staff or location. Keep Accurate and Compliant Student Files Ensure all student files are complete, up to date, and compliant with school and regulatory requirements. Manage the creation of files upon enrollment and transfer of files upon exit of any student. Manage access to student records, ensuring that only authorized staff and family members can view them. Partner with the Data Team to confirm that all student and family information is accurately entered into PowerSchool at the time of enrollment ATS and PowerSchool Management Maintain accurate and up-to-date student demographic information in ATS and PowerSchool. Use ATS to manage student rosters, ensuring accuracy for testing, compliance, and reporting. Assign and track student MetroCards and bus stop information through ATS. Enter and report student attendance in PowerSchool with precision and timeliness. General Operational Support Provide support to the operations manager with additional ad hoc projects, including academic operations support (testing, etc.), classroom and duty coverage, and school safety support. Support the school leadership team with daily school-specific operational needs.
