Overview
The Building, Venue & Events Coordinator manages the use of all event, common, and academic spaces within Huntsman Hall, the Eccles Business building and the Gardner Leadership and Learning Building. The coordinater also plans and executes events alongside the HSB Events Coordinator and other Huntsman School staff as needed. The position requires excellent written and verbal communication skills, customer service skills, attention to detail, and organizational skills. He/she must also be able to adapt to changing circumstances, be a self-starter, and able to work independently. Exempt staff position reporting to the Director of External Relations at the Jon M. Huntsman School of Business.
Responsibilities
Coordinate usage and maintenance of event, common and academic spaces in Huntsman Hall, the Eccles Business Building, and the Gardner Learning and Leadership Building.
Serve as the system admin for all HSB use of Coursedog (USU’s space management system). Set up and maintain HSB spaces and guidelines, set up and train users, handle approval for all requests for HSB spaces, and provide reporting on space usage through Coursedog and other tools.
Serve as the Huntsman School's liaison to USU Facilities to ensure all 3 buildings are maintained, cleaned and well-utilized. This includes managing the submission of all work orders and maintenance requests and serving on related campus-wide committees.
Manage HSB student workforce (4-6 student employees) and the assignment of all related tasks. Hire, manage, and train these student employees to assist with event execution and provide administrative duties for the Dean’s Office. Create student employee work schedules and approve AggieTime records.
Serve as an event liaison, scheduling venues, executing event set-up and take-down, and consulting on event planning for various departments, centers, and programs at the Huntsman School. Coordinate events and venue use with entities outside of HSB and USU who hold events in HSB buildings. Assist the HSB Events Coordinator on planning and executing other events as needed.
Oversee facility and venue budgets in partnership with Director of External Relations and HSB Dean, using discretion and judgement to make day to day decisions on spending.
Other items as assigned by the Director of External Relations.
Qualifications
Minimum Qualifications:
Associate degree plus two years of related work experience; or a bachelor’s degree in a related field; or an equivalent combination of education plus experience is required.
Experience with MS Office (particularly Word, Excel, and Outlook), and project management tools
Proven customer service skills
Excellent verbal and written communication skills
Attention to detail and strong organizational skills
Preferred Qualifications:
Bachelor’s degree in a related field + 2 years of experience in project or event management, facility management or other related field.
Prior experience coordinating usage and maintenance of facilities
Knowledge of Salesforce or other CRM, and space management tools
