Reports To: Site Operations Manager (SOM) Collaborates Closely With: Receptionist and Administrative Director Employment Type: Part-Time (15-20 hours/week; additional hours may be available with a maximum total of 29 hours/week) / Non-Exempt Location: In-person at NBWC in Chaska, MN Position Summary The Office Assistant provides essential office support to New Birth Midwifery through phone management, filing, documentation, administrative coordination, and internal communication support.  This role interacts with clients in person and works at the front desk. The Office Assistant functions as the anchor of the administrative department, ensuring that phone calls, messages, paperwork, and internal workflow run smoothly and efficiently. This position requires professionalism, discretion, excellent organizational skills, and the ability to manage sensitive information with confidentiality. Core Responsibilities Administrative Support Support Receptionist by answering phones as needed. Greet clients and assist with general inquiries. Perform filing, scanning, copying and document organization. Assist with data entry as needed. Support office organization and administrative workflows. Maintain confidentiality when handling any medical or financial documents. Scheduling & Coordination Assistance Support Receptionist with scheduling as needed. Support internal scheduling needs (staff meetings, interviews, administrative calendars). Assist in preparing spaces for meetings and events. Supplies & Office Organization Restock supplies as needed throughout birth center. Keep administrative areas tidy, organized, and well stocked. Help maintain order in storage, supply closets, and administrative workspaces. Birth Center Facility Support Oversee clinic laundry Maintain tidy reception area Communication & Workflow Support Support staff communication through accurate message routing and timely updates. Maintain positive, professional communication with internal team members. Attend administrative team meetings or trainings as requested by the SOM. Complete additional duties as assigned to support administrative team. Qualifications Required Experience & Skills Ability to multitask on multiple projects in a fast-paced environment Strong organizational and time-management skills Reliable attendance and punctuality. Positive attitude and willingness to assist where needed. Strong phone communication skills and professional demeanor. Basic computer skills, including email and word processing. Ability to maintain strict confidentiality and handle sensitive information responsibly. Preferred Qualifications Detail-oriented and proactive. Previous office, administrative, customer service, or facilities support experience. Experience in healthcare administration or nonprofit settings. Familiarity with HIPAA (training will be provided). Experience with scheduling systems, Google Workspace, or EHR platforms. Desired Personal Attributes Calm, focused, and reliable. Strong sense of boundaries and confidentiality. Self-directed with the ability to work independently. Values aligned with New Birth’s mission of compassionate and ethical care. Compensation & Schedule Part-time Consistent weekday schedule with flexibility for occasional administrative events. Not benefit eligible Working Conditions Office-based role with some direct client contact in a birth center environment.
