Description Job Summary: The Program Support Specialist assists with the organization, administration, and coordination of the operations of the Clinic Based Services programs. The Program Support Specialist is an administrative position in a State of Wisconsin certified Mental Health, Alcohol or Drug Abuse (AODA WI DHS 75.50), Clinical Assessment Unit (CAU DHS 62/75.15) and Comprehensive Community Services (CCS WI DHS 36) programs and participates as member of an interdisciplinary treatment team floating between all programs to assist clients and related team staff. Primary duties include providing in-person and telephone support to clients and visitors, managing and updating clinician schedules, data and note entry, and serving as an office administrative resource specialist to the rest of the team. Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions. Journey Mental Health Center upholds a strong commitment to People, Opportunities, Community, and Access (POCA) that guides our daily operations. We are dedicated to demonstrating courage and initiative within our agency and community to actively dismantle structural oppression for all affected communities. Duties/Responsibilities: A. Administrative (High responsibility: 40% of time) P roviding in-person and telephone support to clients and visitors Schedule clients on clinician’s calendars Administrative management of Clinical Assessment Unit tasks such as scheduling assessments and taking payments. Clinical note transfer from JMHC electronic health record to the Dane County CCS portal Maintain clinical records and filing system Serve as a computer specialist to the team B. Programmatic (High responsibility: 40% of time) Serve as an initial contact for clients and visitors who come into the office and provide excellent customer service. Respond to staff requests for assistance. Answer telephones and utilize general knowledge of clients and understanding of their illnesses, comprehension of the mental health system and of community resources, and cultural sensitivity while maintaining and adhering to confidentiality guidelines. Attend and participate in team meetings and trainings. Coordinate activities and/or meetings with other Program Support Specialists. C. General Program and Agency Responsibilities (High responsibility: 20% of time) Coordinate and order supply inventory. Work actively and positively to maintain good working relationships between other JMHC programs, vendors and other community members. Work to improve own cultural sensitivity by participating in the development and implementation of program strategies to continue to improve the cultural sensitivity of the program’s services. Qualifications Education and Experience: Education/Licensure ESSENTIAL High school diploma or equivalent Experience ESSENTIAL Demonstrate characteristics of flexibility, problem solving, multitasking and high attention to detail. Ability to work independently as well as part of a larger team. Strong commitment to cultural diversity. Knowledge and understanding of how to work with confidential information; adhering to HIPAA. Strong commitment to, and comfort working with, individuals recovering from mental health/AODA issues. Ability to communicate with a wide variety of people in a compassionate and recovery focused way. Experience in providing administrative support or customer service. Demonstrate superior communication skills including the ability to take accurate messages, communicate calmly, effectively, and courteously with a variety of customers, both orally and in writing. Demonstrate strong computer skills including the ability to develop and monitor databases, use e-mail, internet, Word, Excel and other computer apps and programs. PREFERRED Experience working in a clinic or mental health setting. Knowledge of  computer programs, electronic health records and other databases. Bilingual Spanish/English. Physical Requirements: Requires driving, sitting, standing, light lifting, bending, and reaching; and the ability to use and operate standard office equipment, including computer, calculator, phone, printer, cell phone, facsimile, etc. Working Conditions In person primarily Kessel Court location; backing up Olin location Hiring Process: All potential candidates will need to successfully pass the Background Information Disclosure (BID) for entity employees and contractors.  Wisconsin’s Caregivers Law requires background, and criminal checks are required by the Department of Health Services and Wis. Stat. 50.065(6)(c) and Wis.
