Background
Deseret Trust Company is an integrated auxiliary of The Church of Jesus Christ of Latter-day Saints, a tax-exempt charitable organization, corporate fiduciary, and a financial institution regulated by the Utah Department of Financial Institutions. To help the Church accomplish its religious mission, all employees must hold a current temple recommend (if endowed) or be temple worthy as indicated by a certification from an ecclesiastical leader (if not endowed). Employees are expected to follow the teachings of Jesus Christ and Church leaders and live principles of honesty, integrity, and morality. Where applicable, employees should work with, support, and advise ecclesiastical leaders in the discharge of their religious duties. Employees serve as role models for members by fulfilling the Church's work with divine guidance. They maintain a spirit of religious compassion towards others and an attitude of devotion to God. Regular attendance and timely arrival at the assigned work location is required to accomplish the work of furthering the mission of the Church.
Purpose
The purpose of this role is to provide senior level administrative support to the managing director and the directors of the trust and operations teams at Deseret Trust Company. The employee in this role must be able to perform a wide variety of advanced and confidential executive assistant tasks, as well as provide primary administrative support for Deseret Trust Company’s board of trustees and related governing committee work.
Employees at this level work under minimal supervision and handle complex issues using broad experience, skill and knowledge of the organization policies and practices, initiative, originality, ingenuity, and sound judgment to resolve diverse issues and requests in a proactive way. Only the most complex issues are referred to higher levels.
Incumbents will work as part of a dynamic team that administers charitable remainder trusts, gift annuities, donor advised funds, and other charitable giving accounts.
Responsibilities
Typical responsibilities include but are not limited to:
Coordinates programs, projects, and/or processes specific to the assigned operating unit or leaders being supported following up on project details and activities and ensuring that deadlines are met. May assist in budget preparation and control activities including monitoring project or department budgets and keeping management appraised of budgetary status. Compiles and evaluates complex data/information from multiple sources and prepares correspondence, documents, and reports (including creating charts and graphs). May also perform research and make recommendations to leadership. Serves as an administrative liaison between senior management and other key leaders both internally and externally regarding department activities. Provides support within an environment of strict confidentiality. Answers and screens complex and routine telephone and email requests. Prepares correspondence, memoranda, reports, etc. Prepares and distributes meeting minutes. Maintains and updates calendars, schedules and coordinates in-person and virtual meetings, manages meeting logistics, makes travel arrangements. Provides accurate, prompt and proactive administrative support for the needs of the Deseret Trust Company Board of Trustees and related committees. Provides backup administrative support to the Trust team.
Qualifications
Required
Bachelor's Degree and 3+ years related experience, or any combination of equivalent education and related experience totaling at least 7 years Comprehensive administrative support working knowledge Broad knowledge of the organization's structure, functions, and key personnel Working knowledge of Church doctrine, policies, and procedures Key Skills include the ability to:
Communicate professionally at an advanced level in writing and verbally. Utilize Microsoft Office and other software at an advanced level to schedule appointments, create and perform analysis on spreadsheets, prepare presentations, take notes and minutes, and create and update word documents. Provide advanced research, analytical, and data summation support with an excellent level of attention to detail. Take standard processes and procedures and adapt to address complex problems and find less obvious solutions. Interact and work with others at an advanced level and in a productive and professional way. Work with sensitive and highly confidential information. Operate and maintain standard office equipment. To successfully perform the essential functions of the job there may be physical requirements which need to be met such as sitting for long periods of time, moving about the office to deliver mail and other items, and using computer monitors/equipment. Preferred
Current Notary Public or willingness to obtain certification Previous experience supporting executive level leaders, including board support. Familiarity with Excel macros, Power Automate, and Power BI is a plus but not required. Familiarity with or willingness to use artificial intelligence (AI) applications.
