We’re now looking for a highly capable Team Administrator to join our Auckland-based Infrastructure team and play a key role in keeping our team connected, organised, and set up for success. The Opportunity This is a varied and trusted support role, ideal for someone who enjoys being the go-to person for a busy professional team. You’ll provide high-level administrative, coordination, and business support to our Infrastructure leadership and wider team, with particular involvement in marketing activity and preparation. You’ll thrive if you’re proactive, calm under pressure, highly organised, and enjoy working in a fast-paced consulting environment where no two days look the same. Key Responsibilities Team Administration & Coordination Provide day-to-day administrative and coordination support to the Infrastructure team. Responsible for the smooth, efficient functioning of the Infrastructure Business Manager’s office to enable focus on organisational priorities. Diary management for seniors including monitoring, screening, and prioritising of meetings and invites to fit workload and deadlines. Coordinate meetings, workshops, and internal communications. Act as a central point of contact for the Infrastructure leadership team, managing competing priorities and requests. Set up new projects and support monthly invoicing through our ERP system, ensuring accuracy and timeliness. Maintain structured and accessible filing and document control systems. Prepare and format reports, correspondence, presentations, and other business documentation. Support internal process improvements and help embed efficient administrative systems. Business Development Support Support the Infrastructure Business Manager with coordination of client and business development meetings. Work closely with the Marketing team to prepare project profiles, staff CVs, case studies, and marketing collateral. Assist with maintaining and updating web content related to the Infrastructure team. Provide coordination and administrative support for wider business development initiatives and events. Bid & Proposal Coordination Coordinate the preparation and timely submission of tenders, proposals, and EOIs. Draft, edit, and proofread content to ensure clarity, consistency, and alignment with brand and client requirements. Liaise with internal stakeholders to gather information and manage inputs and deadlines. Maintain bid libraries, templates, and supporting materials. Ensure high-quality formatting, presentation, and quality assurance of submissions. About You You’re someone who takes pride in being organised, reliable, and one step ahead. You enjoy supporting senior leaders, building strong working relationships, and keeping things running smoothly behind the scenes. Information is managed with sensitivity, professionalism, and respect for confidentiality. You’ll bring: Proven experience in a senior administrative, team support, PA, or bid coordination role. Ability to extract and synthesize information from design reports to prepare profiles, marketing collateral, and web content. Strong written communication skills, with confidence editing and proofreading professional documents. Excellent organisational and time-management skills, with the ability to juggle multiple priorities. A high level of discretion and professionalism when handling confidential information. Advanced skills in Microsoft Office (Word, Excel, PowerPoint, Outlook, PowerBI). Experience in infrastructure, engineering, consulting, or professional services (highly regarded). Familiarity with tender portals, document management systems, or ERP systems (desirable). A proactive, adaptable mindset and a collaborative working style. Why Join Babbage?
