Role and Responsibilities :
Supporting the Real Estate & Facilities Management team in managing real estate projects, FM operations, and continuous improvement initiatives. The PMO ensures process consistency, risk management, document quality, and operational performance of FM services.
Project Controls & Delivery Support
Development, updating, and monitoring of real estate and facilities management project schedules (works, renovations, space planning, major maintenance). Coordination of stakeholders: FM, Real Estate, HSE, and IT teams, external service providers, and property managers. Structured monitoring of actions, risks, incidents, and decisions related to FM operations and real estate projects. Preparation of operational reports: FM performance, SLAs/KPIs, project progress, costs, and compliance. Consolidation and analysis of FM data (maintenance, energy, space utilization, and supplier performance). Facilitation of operational meetings: FM committees, project committees, and supplier reviews. Contribution to FM governance: contractual compliance, budget monitoring, and adherence to internal standards. Document Management & Governance
Organization and administration of the FM/RE document repository: contracts, plans, as-built documentation, audits, certifications, procedures. Management of access rights and confidentiality (technical, real estate, and regulatory documents). Implementation of standardized filing structures and naming conventions adapted to FM environments. Management of regulatory archiving: maintenance, fire safety, building compliance, and mandatory inspections. Standardization of FM templates: incident reports, maintenance sheets, checklists, and supplier reports. PMO Methodology & Continuous Improvement
Deployment of the PMO methodology framework within the FM and Real Estate teams. Implementation and promotion of best practices in FM governance: contract management, supplier performance, and regulatory compliance. Analysis of existing FM processes (maintenance, occupant services, space management) and formulation of improvement recommendations. Support and coaching of FM teams in adopting PMO standards and management tools. Contribution to the operational maturity of the Real Estate & FM department. ***

Required Qualifications :
Knowledge of Facilities Management, Real Estate, Maintenance, and Occupant Services environments. Proficiency in planning tools (MS Project, Primavera) and FM tools (CAFM/IWMS such as Archibus, Planon, Maximo). Understanding of building regulations (fire safety, inspections, compliance). Skills in data analysis, FM KPIs, and supplier performance. Proficiency in document management systems (EDMS). Fluent English required. ***
